GENERAL SUMMARY OF POSITION:
Under the supervision of the Operations and Training Specialist or designee, this position coordinates client appointments for Consultative Examinations (CE) by medical and psychiatric providers within Massachusetts. Responsibilities include managing departmental administrative duties using DEScovery, Word, Excel, Access, and Outlook. The coordinator serves as the primary contact for the community-based DES provider network, interfacing between disability reviewers and CE providers, making complex decisions regarding protected health information (PHI) in compliance with HIPAA and HITECH regulations.
Overview
This role involves coordinating medical and psychiatric examinations, managing provider relationships, and ensuring timely scheduling to impact disability review processes for MassHealth and other programs. The position requires interaction with clients, providers, and DES staff to establish appointments.
Responsibilities
* Serve as liaison between providers and DES staff.
* Coordinate scheduling of examinations for clients applying for disability benefits.
* Review appointment requests for appropriateness based on specialty, location, provider availability, and client preferences.
* Ensure CPT codes are accurate and consistent with guidelines.
* Assess DTA clients for local exam options, contacting qualifying clients to schedule appointments.
* Maintain participation statistics and recommend improvements.
* Collaborate to resolve issues related to client exams.
* Identify opportunities for cost savings through scheduling efficiencies.
* Make privacy decisions regarding client information sharing, mailings, and conversations, ensuring HIPAA compliance.
* Communicate with advocates and agencies securely about sensitive records.
* Enter appointment data into DEScovery and other systems promptly.
* Generate and organize reports for analysis.
* Review provider finances and resolve related questions.
* Coordinate interpreter services, ensuring secure data transmission.
* Provide directions and assistance to clients for appointments, including mailing correspondence in English and Spanish.
* Follow policies, safety regulations, and department procedures.
* Perform scanning, faxing, and document management tasks daily.
* Monitor and improve office procedures as needed.
* Perform additional duties as assigned.
Qualifications
Required
* Associate’s degree in business or related field with 3 years of relevant experience.
* Knowledge of medical terminology or willingness to learn.
* Understanding of HIPAA laws regarding PHI confidentiality.
* Proficiency in Microsoft Office applications.
* Ability to generate, monitor, and distribute reports.
* Effective communication skills for diverse populations.
* Attention to detail and report monitoring experience.
Preferred
* Experience in a medical setting.
* Ability to organize, prioritize, and apply critical thinking.
* Familiarity with medical terminology and CPT codes.
* Strong interpersonal skills.
* Knowledge of DES data security procedures.
