Operations Assistant

* We are looking for a highly organised and proactive Operations Assistant to join our growing team based in the heart of Royal Tunbridge Wells at The Pantiles.
* This is a fantastic opportunity for someone who enjoys variety, thrives in a structured environment, and wants to play a key role supporting operational, compliance, and (for the right candidate) marketing activities within a dynamic business.
The Role
* You will work closely with the Operations Manager, supporting core operational processes, compliance, documentation, and office management. For candidates with marketing experience, there is also scope to support website, branding, and social media activity.
Core Responsibilities
Contracts & Data Administration
Supporting the Operations Manager with:
* Conducting compliance checks and requesting candidate references (GDPR compliant)
* Drafting contracts for both contractors and clients
* Issuing contracts via AdobeSign
* Logging contract status and chasing outstanding signatures
* Filing contracts and documents electronically
* Chasing clients for Purchase Orders and logging for invoicing
* Maintaining a log of client framework agreements and monitoring expiry dates
* Ensuring contractor records and logs are kept up to date
Operations Support
* Supporting operational projects (e.g. ISO certification, carbon emissions certification, industry awards)
* Assisting with operational compliance and professional memberships
* Creating, editing and updating internal documentation (org charts, spreadsheets, reference forms, client questionnaires)
* General office management and ordering office supplies
* Supplier management and organising annual renewals
* Supporting company events including fully funded summer and winter parties, charity events and team building activities
* Assisting with onboarding and offboarding employees
* Handling ad hoc operational tasks as required
Essential Skills
* Competent in Microsoft Excel and Word (basic functions required)
* Excellent organisation and attention to detail
* Strong written and verbal communication skills
* Ability to manage multiple tasks and meet deadlines
* Proactive and solution-focused approach
Desirable Skills (Web, Social Media & Branding)
For the right candidate, the role can expand to include marketing and brand support responsibilities.
Website Management & SEO
* Develop, edit and improve website content in line with brand guidelines (using Shazamme platform)
* Apply basic SEO principles (keyword research, competitor analysis, internal linking, meta tags)
* Optimise content for AI and generative search visibility
* Monitor website performance using Google Search Console and analytics tools
* Identify UX improvements across mobile and desktop
* Experience with SEMrush is advantageous
Branding & Design
* Create branded materials using Canva (one-pagers, presentations, forms, reports)
* Design visual assets for website, LinkedIn and Instagram
* Maintain consistent tone of voice and visual identity across all channels
Content Creation & Social Media
* Create and manage monthly blog content
* Develop content tailored to B2B and B2C audiences
* Manage LinkedIn and Instagram accounts
* Plan and schedule content (minimum three posts per week using Paiger)
* Draft and edit posts (basic video editing is a plus)
* Curate industry news and engagement-driven content
* Track and report on website and social media performance metrics
