But back at HQ, it's the office team who keep everything ticking along - making sure diaries run smoothly, customers are cared for, and the business grows year after year.
The role
We're looking for an experienced Office Manager to take charge of our busy West Bromwich office covering Maternity Leave.
From managing recruitment and HR paperwork to keeping engineers' diaries on track… to chasing estimates and looking after customer care… you'll be the person who makes sure nothing slips through the cracks.
Responsibilities
* Overseeing and managing the day-to-day running of the office.
* Payroll administration: focusing on day-to-day processing, timekeeping, and maintaining accurate records for payroll and PAYE to be processed monthly.
* HR tasks: new starters, holiday requests, employee records, training schedules, call out rotas.
* Fleet administration: insurance, fuel cards, booking of servicing and MOT's.
* Customer care: incoming calls, enquiries, job bookings, reminders.
* Managing suppliers: reviewing costs, and ordering materials.
* Scheduling engineers' diaries, estimates and project jobs.
* Raising invoices and purchase orders, chasing estimates and managing job costs.
* Monitoring future workload and ensuring the diary stays productive.
* Assisting engineers and liaising with suppliers during projects.
* Complying with relevant paperwork to keep Ambigas up to standard – Gas Safe, Safe Contractor, F-Gas and CHAS.
* Maintaining a safe and tidy office environment; implementing daily tidying habits like decluttering desks and regularly emptying bins to prevent hazards and dust.
Who we're looking for
* A proven Office Manager (or similar) with strong organisational skills.
* Someone confident juggling multiple priorities in a fast-paced environment.
* Excellent phone manner and customer service skills.
* The initiative to spot what needs doing before anyone asks.
* Experience in plumbing and heating admin is a bonus - but not essential.
