Role: Clinic Receptionist
Salary: £24,000 per year
Hours: Full-time, 36 hours per week (flexibility required between 7:30am – 6:00pm Monday–Friday and 8:00am – 2:00pm on weekends)

The Role
We are looking for a Clinic Receptionist to join our Business Operations team. In this varied and patient-facing role, you'll be the welcoming face of BCRM, ensuring patients feel supported and cared for from the moment they arrive. You'll also play a vital role in keeping our clinic running smoothly by handling administration and supporting colleagues across the service. Your responsibilities will include:
* Greeting and supporting patients at reception, providing a calm, professional, and welcoming environment.
* Managing telephone enquiries and appointment bookings with empathy and professionalism, including rescheduling and general patient support.
* Maintaining accurate patient records (electronic and paper-based) in line with HFEA and ISO compliance requirements.
* Preparing consultation rooms and records to ensure clinicians and nurses are fully supported.
* Processing documentation, including scanning, uploading, filing of information.
* Supporting patients with treatment planning, payments, and follow-up documentation.
* Handling financial transactions accurately and efficiently.
* Monitoring and responding promptly to patient emails and correspondence.
* Handling patient queries with sensitivity, acting as the first point of contact for complaints and escalating issues where necessary.
* Coordinating the flow of patients through their treatment journey, working closely with the wider team to ensure a seamless experience.
* Maintaining a welcoming clinic environment by keeping reception and waiting areas tidy and organised.
* Collaborating with colleagues across the multidisciplinary team.
* Taking part in team meetings and training sessions, contributing ideas for continuous improvement.
What We're Looking For
This role is ideal for someone with strong administration and customer service skills who thrives in a busy, patient-focused environment. You'll be organised, approachable, and calm under pressure, with a keen eye for detail and a genuine care for patient wellbeing.
Essential skills and qualities:
* Warm, professional reception and hosting skills.
* Excellent communication skills, both face-to-face and by phone, including first-line handling of complaints and conflict resolution.
* Strong organisational skills with the ability to prioritise and multitask.
* High level of accuracy and attention to detail in all aspects of administration.
* Proactive, adaptable, and confident working in a fast-paced clinical environment.
* Strong IT skills (Microsoft Office – Excel, Outlook, Word, Teams).
* A team player with a positive, "can-do" approach.
Desirable:
* Experience in a healthcare reception, patient coordinator, or similar customer-facing role.
* Understanding of fertility treatments and patient pathways.

Education & Experience:
* A-Level or equivalent (required)
* Minimum 2 years' experience in healthcare administration or customer service (preferred)
