The Senior Sales Administrator plays a crucial role in supporting the company's sales and advisory solutions leadership and operations teams. This role serves as a vital connection between the sales team and customers, ensuring seamless communication, efficient processes, and exceptional service.

This critical role will assist management with daily and long-term strategic initiatives. The successful candidate will be able to fully meet the executive team's requirements and to provide services which significantly contribute to their overall performance and effectiveness.

Responsibilities:

* The focal point for sales and advisory solutions leadership, directly involved in assisting, participating and coordinating relationships with clients and prospects with clear agendas, follow-ups, and next steps.
* Coordinate internal and external executive-level meetings with potential clients or internal staff to move forward with outcomes/actions from client/prospect discussions. This will include meeting planning, organization, scheduling, travel logistics, booking conference rooms, catering, creating and distributing meeting materials.
* Calendar management (through Microsoft Outlook) for EVP, Advisory Solutions and the Chief Revenue Officer (CRO), assisting in prioritizing, scheduling, planning and organizing key meetings which includes understanding and managing conflicting priorities.
* Create and coordinate reports and information as needed for Executive Staff using Microsoft Office Suite, particularly with PowerPoint, Word and Excel.
* Process travel and expense reports for Executives using the Travel & Expense system.
* Administrative support to the advisory consultants with onboarding clients.
* Respond promptly to Executives’ queries, assessing their needs and suggesting effective solutions.
* Work on various projects in collaboration with other supporting members of cross-functional teams.
* Provide back-up support for the Assistant to the CEO as needed.
* Other duties as assigned.

Requirements:

* 5+ years of administrative assistance experience.
* Associate's degree required, bachelor's preferred.
* Ability to identify challenges and propose solutions to improve processes and training.
* Demonstrated ability to exercise discretion and independent judgment, free from immediate direction or supervision.
* Expert-level experience with Microsoft Office, specifically Outlook, Word and PowerPoint.
* Build working relationships across all Vestmark departments.
* Constructive and positive interpersonal skills (enthusiastic, upbeat and flexible) with the ability to interface effectively with a wide variety of internal and external clients.
* Thoughtful, service-oriented attitude, exhibiting a professional approach to projects and interfaces.
* Excellent written and verbal communication skills with strong attention to detail, follow-through and ability to multitask.
* A strongly organized and efficient work style with the ability to keep track of several competing and demanding priorities and multiple tasks.
* A proactive, analytical mindset with acute attention to detail
* A consistently positive and professional attitude when interacting with team members and customers.
* Demonstrated experience handling confidential information with discretion.
* Able to thrive in a fast-paced environment with minimal supervision.
