As our portfolio continues to grow, we are expanding our in-house development team and seeking a Document Controller to support the successful delivery of some of London’s most prestigious hospitality projects.
The Role
As a Document Controller, you will play a key role in managing project documentation across our landmark hotel and mixed-use developments. You will oversee the intake, handling, and storage of documents, ensure smooth information flow within the project team and external consultants, and maintain high standards of confidentiality and compliance. You will also take the lead in setting up, organising, and managing workflows through our Common Data Environments (CDEs), ensuring efficient, accurate, and secure information management throughout each project.
Key Responsibilities
* Set up, copy, scan, and store project documentation in physical and digital systems.
* Create and maintain templates for consistent reporting and documentation.
* Manage requests for information and ensure timely distribution of documents.
* Track and control document versions, ensuring the latest information is accessible.
* Review and maintain the accuracy of records, editing where necessary.
* Ensure compliance with internal standards, external regulations, and client requirements.
* Liaise with internal project teams and external consultants to distribute information securely.
* Maintain and administer project information systems (e.g., SharePoint, Aconex, Viewpoint).
* Set up, organise, and manage workflows within Common Data Environments (CDEs).
* Prepare regular and ad-hoc project reports as required.
* Support training of team members on document control processes and systems.
* Assist the project team with administrative duties, including meeting preparation and bid documentation.
* Uphold data security, confidentiality, and integrity across all project documentation.
What We’re Looking For
* 3–4 years of proven hands-on experience with Viewpoint as a core document management system.
* Proven work experience as a Document Controller or in a similar role.
* Strong knowledge of document management systems and CDEs (e.g., SharePoint, Aconex, Viewpoint).
* Experience in coordinating with consultant teams and managing document workflows across multiple disciplines.
* Hands-on experience with Microsoft 365, including Excel and Word.
* Excellent communication and interpersonal skills.
* Strong organisational skills and attention to detail.
* Ability to problem-solve and manage document-related issues proactively.
* Familiarity with construction project processes and terminology.
* Security clearance eligibility (as required for sensitive projects).
