We are looking to hire a Project Co-Ordinator on a full time, permanent basis. Based at our facility in Great Yarmouth, the Project is to own and coordinate the commercial lifecycle of customer projects from initial enquiry through quotation, order intake, execution support, delivery tracking and post-delivery close out. The role acts as the central interface between Sales, Engineering, Operations, QC, third party vendors and the customer - ensuring accuracy, compliance, visibility and on time delivery. The focus is on project coordination, commercial control, and customer execution, supporting Sales to be effective and Operations to deliver successfully.
Duties & Main Responsibilities
* Liaison with engineering / drafting for scope, calculations, and drawings
* Liaison with procurement / admin for third party pricing
* Ensure quotations are issued accurately, on time and in line with approved commercial terms
* Support upsell opportunities identified by Sales by ensuring they are reflected correctly in quotes
* Receive and review customer purchase orders
* Carry out contract and order acceptance reviews to ensure:
* Scope alignment with quotation
* Commercial, legal and delivery risks are identified
* Internal approvals are obtained where required
* Raise internal work orders and ensure correct project setup
* Issue formal order acknowledgements to customers
* Act as the commercial coordination point through execution
* Liaise with Operations and Engineering to:
* Confirm lead times and delivery schedules
* Track progress against agreed milestonesCoordinate third party inspection and vendor orders where required
* Maintain clear visibility of project status for Sales and Management
* Manage customer communication for:
* Order status updates
* Expediting reports
* Act as the coordination point for post-delivery issues, close out actions and documentation
* Work with QC and Operations to resolve non-conformances or delivery issues
* Maintain accurate project, order, and quote records
* Support weekly, monthly, and annual reporting on:
* Orders received
* Work in progress
* Delivery performance
* Ensure adherence to company IMS, HSE and quality processes
* Experience in a commercial coordination, project support, or operations-facing role
* Strong organisational and multitasking capability
* High attention to detail and process discipline
* Confident communicator with customers and internal stakeholders
* Comfortable operating in an engineering / manufacturing environment
* Proficient in MS Office and ERP / works order systems
* Exposure to oil & gas or industrial engineering services
* Understanding of contractual workflows and order acceptance
* Experience coordinating third party inspections or vendors
