Role
1. To be a primary advisory contact for enquiries by phone, email and 1:1 in-person and virtual appointments– this may include complex student casework requiring experience and understanding of a range of academic and personal issues affecting study abroad (visiting students at York and York students going abroad) decisions, guiding students through the study abroad lifecycle.
2. To plan and implement a range of study abroad related events, activities and publications e.g. Study Abroad Fairs, visiting student events, stands on Open Days and Post Offer Visit Days, Global Opportunities Fair, talks in departments and colleges, attending in-person and online meetings and events for promotional purposes and briefing academic and Faculty support staff.
3. To produce and disseminate information in a written format, via website updates, pre-application and pre-arrival webinars, promotional and informational materials, virtual workshops and meetings, and in-person events to students, staff and other interested parties e.g. liaising with departments to update visiting student webpages, creating mini-sites, preparing pre-departure briefing materials, and risk assessment templates.
4. To coordinate the programme contracts with partner institutions and organisations, keeping track of when contracts need to be renewed, reviewed, amended and regular correspondence with partners.
5. To liaise with academic and administrative staff within Faculty structures and other professional services e.g. Student and Academic Services, Transcripts, Accommodation, Admissions, International Student Support, Finance Office, Careers and Placements, Student Support Hub and Colleges to coordinate operations and to represent expertise in study abroad related matters,
6. To manage Global Opportunities related finances and associated work order and accounts, to be responsible for distributing funding and managing payments to and from: partners; students relating to bursaries, fees and other costs. Responsible for the production and maintenance of records relating to all funded mobility e.g. ISEP, Turing, Erasmus+, summer school fees and associated costs.
7. To undertake complex tasks related to incoming and outgoing study abroad developments e.g. research into new incoming study abroad partners, exchange destinations and schemes, including due diligence, partner liaison, advice to departments on the types of schemes available. These tasks may involve working closely with members of other Professional Services teams, other internal teams e.g. Careers and Placements, and Faculty staff, as well as external partner institutions, sector organisations and third party providers
8. To participate in study abroad initiatives to support the growth and development of student opportunities, including attending conferences and forums, mobility related fairs and partner visits, both in UK and overseas.
Skills, Experience and Qualifications needed
9. Experience of working in Higher Education within study abroad and/or dealing with international students and organisations
10. Experience of working with internal and external student funding sources and allocation mechanisms e.g. Erasmus+, Turing Scheme
11. A thorough knowledge of office-based administrative processes and procedures and a working knowledge of student data management systems e.g. Mobility Online, SITS, e:Vision
12. Willingness to work outside typical office hours and undertake travel involving overnight and overseas stays on occasion
13. Level 3 qualification. (Qualifications at this level include A levels. Please view the full list). We also welcome applicants with equivalent non-UK qualifications or equivalent professional experience.
