Key Responsibilities

Produce accurate, high-quality typed work from audio and script sources, using the firm’s software packages and document management systems.

Ensure all documents comply with house style and standardised requirements.

Manage workflow system entries for each job undertaken.

Troubleshoot issues and provide expert technical advice when required.

Adapt and respond flexibly as the team’s service offering develops.

Communicate effectively with colleagues across secretarial, legal, and support teams.

Identify training needs and request support through the Document Production Manager and IT.

Provide workflow cover when needed (including holidays, sickness, and lunch breaks).


Technical Skills Required

Microsoft Word

* Produce and reformat complex documents to house style.

* Create, edit, and apply styles.

* Advanced table formatting and manipulation.

* Mail merges for documents and labels.

* Use Litera Compare and track changes.

* Repair corrupt documents, troubleshoot TOC and numbering issues.

* Knowledge of DocX Tools.

Microsoft Excel

* Insert/modify/delete rows and columns.

* Enter and edit basic formulae.

* Adjust orientation, margins, print area, and scaling.

* Format cells (font, alignment, number, borders, patterns).

* Use hide/unhide and freeze panes.

Microsoft PowerPoint

* Create and format housestyle presentations.

* Amend templates and produce external/pitch decks.

* Build flowcharts using connectors and grouping, applying firm branding.

* Use animations, transitions, and master slides.

* Resize slides (A4/A3).

pdfDocs

* Confident working knowledge, including bdr creation.

BundleDocs (or similar e-bundling system)

* Create, edit, and manipulate electronic bundles to court standards.

Document Management Systems (e.g. iManage)

* Create and save work in designated areas.

* Re-file documents accurately.

The Essentials

* Hours: 10am – 6pm, Monday to Friday (flexibility required).

* Training: Minimum 4-week training period (daytime hours; may require office attendance).

* Probation: 12 weeks.

* Notice period: 4 weeks.
