About the role…
As the Executive Assistant, you will play a pivotal role in supporting the CFO and the broader Finance and Company Secretarial function. The dynamic nature of executive responsibilities necessitates flexibility in the tasks undertaken while consistently delivering high-quality work. Maintaining utmost confidentiality regarding high-level systems and operations is paramount.
Moreover, this role involves preparing and managing highly confidential and sensitive information, ensuring the seamless operation of the Birmingham office.
As our Executive Assistant, you will be:
* Supporting the CFO and his teams (Finance, Legal, and Facilities) primarily, with additional support to other Executive Team and Board members as directed, serving as the administrative point of contact internally and externally.
* Managing calendars, arranging meetings, and coordinating logistics (including travel), ensuring prioritisation of key meetings, adherence to deadlines, and meticulous attention to meeting details such as timings and videoconference arrangements.
* Assisting in property moves or changes, liaising with agents, legal advisors, and stakeholders as required.
* Helping to produce external-facing documents and presentations, handling business correspondence, and preparing communication materials like meeting agendas and reports for Board presentations.
* Organising and facilitating company events, including travel and accommodation arrangements as necessary.
* Providing unwavering support for the CFO and board, demonstrating flexibility to meet evolving business needs, and screening phone calls while managing correspondence.
* Monitoring office supply stocks for the Birmingham office, manage replenishment, liaise with suppliers, and oversee general office management tasks, extending support to the London and York offices as needed.
* Offering administrative and office support, encompassing typing, dictation, spreadsheet creation, and upkeep of physical and electronic filing systems.

* Proficiently navigate various systems and technologies, including usage of Google Suite and other relevant tools.
