Job Summary
We are seeking a proactive and highly skilled Executive Assistant to join our team, providing exceptional, confidential secretarial and administrative support to at least two Senior Leaders. This is a key role that contributes to the smooth and efficient running of the Assurance and Standards Team, offering high-quality support across the leadership group as needed. The role involves:
* Delivering professional and confidential executive support to Senior Leaders.
* Supporting the wider team with effective secretarial services.
* Assisting with diary management, meeting coordination, and formal minute-taking.
Applicants should be educated to degree level, with proven experience as a Personal Assistant or Executive Assistant, ideally within a complex organisation; have trained proficiency in Microsoft Office applications and have excellent organisational skills and attention to detail.
The role is suitable for appointment on either a fixed term contract or secondment basis. Applicants should have gained agreement in principle from their line manager prior to applying for a secondment arrangement.
Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for new skilled worker sponsorship. Applications from candidates that require new skilled worker sponsorship are not eligible.
Main duties of the job
* To provide a fully comprehensive, high quality, effective, efficient, confidential executive secretarial and administrative support to a minimum of 2 Executive Directors/Senior Leaders.
* Ensure the smooth running of the Offices of the Executive Directors/Assurance and Standards Team.
* To provide a positive first contact for all staff, patients, public and stakeholders in the Executive Office.
* To ensure and provide a full and comprehensive Executive Personal Assistant service to the Executives, covering all aspects of secretarial, administrative and organisational support.

Job Description & Responsibilities
* Provide a full and comprehensive service to the Executive Team, covering all aspects of secretarial, administrative and organisational support.
* Organise and plan workload, diary and commitments (including travel and accommodation), schedule formal and complex meetings, and ensure deadlines are met.
* Source and gather information to prioritise workload and manage demands on executive diaries.
* Facilitate liaison with people at all levels, internally and externally; coordinate meetings, agendas and papers; minute taking as required; arrange venues and refreshments.
* Provide a comprehensive EA/secretarial/administrative service, including note-taking, typing, and professional presentation of correspondence and reports, often to tight deadlines. Format reports and presentations using office software.
* Draft responses to correspondence as directed by the Executives; respond to high-level information requests with appropriate judgement.
* Act as the first point of contact for the Executive, maintaining a professional image and efficient service to internal and external contacts.
* Provide information and advice commensurate with the post; undertake specific pieces of work or projects as agreed with the Executive.
* Work with autonomy, prioritising own work with excellent time management.
* Assist in staffing-related administration within the Directorate, including recruitment processes and staff meeting arrangements.
Person Specification
Essential
* Education to degree level in a relevant subject or relevant experience
* Experience knowledge of NHS or complex organisations; experience as a Personal Assistant at director level preferred
* High level IT competency (Microsoft Office, virtual meeting software) and ability to format reports/presentations
* Excellent written and verbal communication; good people management; diplomacy
* Ability to prioritise, make decisions, work autonomously and remain professional in a busy office
Desirable
* Attendance on an Executive Secretarial or equivalent course
* ECDL
* At least 3 years’ experience at Personal Assistant level
* Awareness of NHS policies and procedures
