Personal Assistant to the COO and CEdO of Brighton College International
Brighton College is seeking to appoint a Personal Assistant to the COO and CEdO of Brighton College International on a full‑time, permanent basis.
Reporting to: Chief Operating Officer (COO) and Chief Education Officer (CEdO).
Main purpose of the role: We are seeking a highly organised, proactive, and personable Personal Assistant to provide dedicated administrative and organisational support to the Chief Operating Officer (COO) and Chief Education Officer (CEdO). The role requires excellent communication skills, discretion, and the ability to manage multiple priorities while ensuring the smooth day‑to‑day coordination of both executives’ schedules and responsibilities. The successful candidate will be a team player with a positive attitude and a good sense of humour, helping to create a supportive and enjoyable working environment. This role involves being based in Brighton College UK, with flexibility for overseas travel to support events in BCI schools worldwide.
General Duties and Responsibilities
* Provide comprehensive administrative support to the COO and CEdO.
* Act as a key point of contact for both executives.
* Manage Outlook calendars, schedule meetings and appointments.
* Prepare meeting agendas and take minutes and actions where applicable.
* Coordinate visitor itineraries for the College, including managing logistics, room bookings, pupil tours, and scheduling in alignment with BCI Senior Leadership Team (SLT) diaries.
* Arrange travel, accommodation, and complex international travel itineraries when required.
* Handling commercially sensitive information with discretion.
* Work closely with the CEO’s PA and the Deputy CEOs’ PA to provide high‑quality support across the Senior Leadership Team.
* Assist with administrative tasks across BCI departments.
* Maintain adequate levels of office supplies, ordering items when required.
Event Support
* Provide administrative and organisational support to the Director of Marketing in planning and coordinating international schools’ launch events, ensuring key dates are scheduled in senior leaders’ diaries.
* Assist with the preparation and coordination of guest lists, including Brighton College VIPs, parents and alumni, ensuring records are accurate and up to date.
* Support the invitation process by sending invitations, monitoring responses and maintaining an organised database of replies, responding to queries and issuing reminders where appropriate.
* Prepare briefing notes and short biographies of attending guests for circulation to the SLT.
* Assist the Director of Marketing in preparing event briefing packs for circulation to SLT and Group Leadership Team (GLT) ahead of events.
* Create and maintain attendee lists and name badges where required, helping to ensure events run smoothly on the day.
* Following each event, ensure attendance records are updated, including recording attendees and non‑attendees.
* Any other reasonable management request.
Person Specifications
* Exceptional organisational and time‑management skills.
* Strong written and verbal communication skills.
* Exceptional attention to detail.
* Ability to prioritise tasks and manage competing deadlines.
* Proven experience as a Personal Assistant at Senior Executive or Leadership level.
* High level of discretion and professionalism when handling confidential information.
* Strong proficiency in Microsoft Teams and Microsoft Office.
* Team player and good sense of humour.
* Ability to work independently and proactively in a fast‑paced environment.
* Experience supporting senior executives or leadership teams (desirable).
* Experience in event management (desirable).
* Experience working within an academic, education, or corporate environment (desirable).
Hours of Work
Monday to Friday, 8:30am to 5:00pm with a 60‑minute unpaid lunch break (37.5 hours per week).
Remuneration
A salary in the range of £33,000 - £37,000 per annum will be offered depending on the candidate’s skills and experience.
Holidays
23 days, plus bank holidays, increasing to 28 days plus bank holidays after 2 years of service.
