Band 4 Medical Secretary – responsible for administrative and secretarial support to the Consultant Psychiatrist and the wider clinical team.
Key Responsibilities
* Maintain an electronic diary of appointments and coordinate scheduling for the Consultant and team.
* Takes messages, drafts correspondence and replies, and manages confidential information relating to patients and staff.
* Provide effective secretarial and administrative support to the wider clinical team, handling telephone enquiries, relatives, GPs, social workers, and other agencies.
* Assist with the implementation and administration of computer data collection systems, ensuring accurate and timely information recording.
* Maintain and coordinate annual leave and study leave for the Consultant, ensuring adequate service coverage.
* Maintain confidential files concerning patients’ correspondence, reports, and departmental matters in line with NHS procedures.
* Collect and submit statistical returns for the team.
* Maintain client waiting lists and type clinic lists.
* Organise and minute CPA meetings and daily ward reviews.
* Maintain an up‑to‑date data scanning and filing system, providing statistics as required.
* Process distressing information related to service users, such as typing letters/reports concerning child abuse (as required).
Qualifications & Conditions
* Full‑time role – 37.5 hours per week.
* Standard Disclosure and Barring Service (DBS) check required; the Trust will cover the cost.
* Ability to work with confidential patient information and NHS procedures.
* Ineligible to apply if you require current Skilled Worker sponsorship to work in the UK.
