Job purpose

The Supply Chain Manager is responsible for overseeing and managing the day-to-day administrative functions of the organization. This includes ensuring the smooth and efficient operation of office services, managing administrative staff, and supporting senior leadership in administrative tasks. The role involves developing and implementing processes and systems that enhance organizational efficiency and productivity.


Duties and Responsibilities

The associate’s primary functions and responsibilities are as follows:

* Manage and oversee all aspects of the UK supply chain division, providing continuous monitoring and support to the UK team to ensure optimal performance and efficiency.
* Oversee all administrative activities within the organization, ensuring tasks are completed efficiently and in line with company policies and procedures.
* Monitor, track, and report on stock levels, ensuring accurate maintenance of inventory records and proper documentation for all incoming and outgoing goods.
* Oversee the purchase order process, from placement through to the collection of containers by third-party service providers, coordinating loading and shipment to the UK, Ireland, and EU, as well as managing onward transportation to stock-holding warehouses.
* Manage all aspects of stock monitoring and inventory control while goods are in third-party logistics (3PL) storage, ensuring efficient stock rotation and availability.
* Oversee the sales order process, ensuring timely receipt of orders, picking and delivery by the designated warehouse, and successful receipt by the customer at their nominated depot.
* Develop and implement office systems, procedures, and processes to enhance operational efficiency and reduce costs.
* Organize and coordinate meetings ensuring all logistical requirements are met.
* Provide administrative support to senior leadership, including scheduling, document preparation, and correspondence management.
* Handle sensitive and confidential information with discretion and in compliance with company data protection policies.
* Oversee record management, including filing, archiving, and retrieval of documents in line with legal and company standards.
* Liaise with internal and external stakeholders, including vendors and service providers, to ensure the smooth operation of office functions.
* Responsible for daily management and support for the team to achieve operational success.
* Monitor time and attendance and ensure compliance with Company Procedures.
* Approve the vacation requests.
* Carry out incident, accident and non-conformity investigations and associated reporting and action closure.
* Issue disciplinary action when needed.
* Perform other assigned duties.
* Follow Health and Safety rules and regulations.
* Must follow Good Manufacturing Practices, Food Safety, and Food Defense guidelines.
* Comply with all Company policies and procedures.


Qualifications

* Proven experience as an Administration Manager or in a similar administrative role.
* Strong leadership skills with experience managing a team and driving operational efficiency.
* Exceptional organizational and multitasking abilities with a keen attention to detail.
* Excellent communication and interpersonal skills to effectively interact with staff, management, and external stakeholders.
* Proficient in office software (e.g., Microsoft Office Suite) and experience with administrative management software.
* Knowledge of office management procedures and systems, with a strong understanding of legal and regulatory compliance.
* Strong oral and written communication.
* Ability to work in a fast-paced environment.
