Main Responsibilities

* Accurately transcribe correspondence and reports by touch‑typing from audio dictation, using medical terminology.
* Use Blithe Lilie Patient Management System, HIV database, Microsoft Office, and departmental databases as required.
* Undertake routine clerical duties such as distributing/dispatching mail, photocopying, faxing, answering emails, and retrieving case notes.
* Answer the telephone, handle enquiries, take messages, and forward to appropriate staff.
* Track all medical documents, hard copy or electronic, via the Patient Management System.
* Form agendas and take minutes.
* Accurately file letters and investigations in the appropriate EPR section.
* Liaise with departmental staff regarding case notes.
* Provide administrative support to medical teams and service support to the management team.
* Manage onward referral processes and support administration teams with inward referral tracking.
* Support with the tracking and collation of alerts.
* Provide administrative support for HIV service patient and non‑patient activities.


The Ideal Candidate

* Experience as a Medical Secretary.
* AMS Par or typing qualification.
* Experience in a customer/patient‑focused environment.
* Experience working in a pressured environment.
* Strong communication skills.
* Ability to handle sensitive information.
* Multi‑tasking ability.
* Understanding of basic medical terminology.
* Ability to prioritise effectively to meet deadlines.
* Knowledge of good office and administrative practice.
* Computer literate with Microsoft Word, Email, Excel and other Office applications.

While not essential, ideally you will have previous secretarial or administrative experience within the NHS or independent healthcare sector, familiarity with hospital databases and clinical systems such as LILIE, EMIS, SystemOne, ULTRA, PAS, Choose & Book, and others.
