The Role
You will be supporting two directors in a family-run group of companies. This role reflects a blend of administrative, financial, and sales support responsibilities, with an emphasis on discretion, flexibility, and a can-do attitude, which are often key in family-run businesses such as ours.

Due to ongoing growth, we are seeking a highly organised and proactive Finance Operations Sales Assistant to support the day-to-day activities of two company directors. This is a varied role ideal for someone who enjoys working across multiple functions in a dynamic and fast-paced environment.
The break down of the work expected is;
30% HubSpot Related work
30% Office/PA work
40% Finance Related Admin
Responsibilities & Key Skills
1. Answering all incoming calls across the companies. 2. Booking & Organising Meetings and full diary management for the two directors. 3. Office Organisation including stocking of materials / arranging cleaning services 4. Filing of all documentation across the group, including finance related information. 5. Holiday Calendars and HR Related management, including working hours of operatives and payroll related queries. 6. Management of the Fuel Cards and all related expenses across Group. 7. General Admin & Organisation requirements are critical to the success of the businesses. 8. Have the ability to manage all supply chain invoicing, meaning that all invoices incoming to the group are filed and uploaded appropriately to the finance system, to allow our Finance Director to action weekly. 9. Have the confidence to call up customers and suppliers to credit manage the payment of invoices as well as liaising with the supply chain to ensure accurate invoices are provided for works completed. 10. Have either the knowledge of finance systems or the ability to learn quickly in how to raise invoices and manage simple queries back from customers. 11. IT competency is a must across the suite of Microsoft products, excel, powerpoint and word. 12. IT competency to be able to engage with and manage the life cycle of a customer inside Hubspot. 13. Hubspot admin management, raising, designing and completing proposals relating to customers, with the assistance of ongoing training on the relevant software. A SOP has been created in order to manage this workflow. 14. Good time keeping is a must. 15. Being able to work to deliverables and be able to handle work related stress, is a must. 16. Have the ability to handle and deal with calls incoming from a wide range of people, from Labourers to Investment Bankers.
