Executive Assistant and Team Support Temporary role – ASAP start £24 - £25.5 per hour Hours: Full-time, 37.5 hours per week Hybrid working – minimum two days per week in London Office We are looking for an experienced and proactive Executive Assistant and Team Support professional. You will be a core member of the team, providing high-quality executive support to the Director and two Assistant Directors, alongside overseeing effective administrative and operational systems that enable the Directorate to run smoothly. You will also line manage a part-time Operations Support Administrator and play a key role in coordinating day-to-day operations, onboarding new staff, supporting events and meetings, and administering small grants. This is a varied and fast-paced role suited to someone who enjoys being at the heart of a team, anticipates needs, and takes pride in delivering well-organised and professional support. Key responsibilities Executive and Administrative support Proactively manage diaries for the Director and two Assistant Directors, including scheduling, room booking, travel and accommodation, and responding to urgent requests. Provide high-quality support for meetings and events, including preparing agendas, formatting papers and presentations, organising venues and refreshments, and taking minutes where required. Maintain accurate records across systems including CRM and SharePoint, and ensure information is appropriately filed and up to date. Act as the first point of contact for general administrative queries within the Directorate. Operations and coordination Line manage the Operations Support Administrator, supporting performance and professional development. Organise team events, away days, and development activities using online collaboration tools where appropriate. Manage onboarding of new starters and coordinate inductions for colleagues across the organisation. Work with the Programme Manager to share organisational updates and respond to information requests from across the organisation. Finance and grants Act as the main contact for routine finance queries including expenses and purchasing. Set up and administer small grants using Salesforce Grants, including due diligence, agreements, liaison with applicants, and processing payments. You will demonstrate strong judgement, attention to detail and a commitment to inclusive ways of working. We are looking for someone who has: Essential Experience providing high-quality executive or administrative support to senior leaders or a busy team. Excellent diary management and organisational skills. Strong interpersonal and communication skills (written and verbal). Confidence prioritising competing demands in a fast-paced environment. Excellent attention to detail and ability to manage tasks from start to finish. Proficiency in Microsoft Office applications (Outlook, Word, Excel and PowerPoint).
