Night Concierge – Corporate Office – FoH

Hours: 20:00–08:00
Primary Responsibilities
1. Front Desk Operations
2. Greet residents, guests, and visitors in a courteous and professional manner.
3. Monitor and control access to the building—verify IDs and visitor permissions.
4. Handle key/fob management and maintain accurate sign-in/out logs.
5. Ensure accuracy on visitor management system
Security & Safety Monitoring
6. Conduct regular patrols of the building/common areas (e.g. every 2–3 hours).
7. Monitor and report any suspicious activity or incidents.
8. Ensure doors, fire exits, and gates are secure throughout the shift.
9. Act as the first point of contact in case of emergencies—liaise with emergency services if required.
Customer Service & Support
10. Assist residents and colleagues with general enquiries or concerns.
11. Handle parcel and post logging—record deliveries and notify residents.
12. Log and escalate maintenance or facilities issues via the correct channels.
Administrative Tasks
13. Complete a detailed handover report at the end of each shift.
14. Keep incident and visitor and contractor logs updated and accurate.
15. Carry out data entry or paperwork as directed by management.
Presentation & Cleanliness
16. Ensure the reception area is clean, tidy, and welcoming at all times.
17. Report any cleaning or maintenance requirements to the relevant teams.
18. Change bins in reception and Café area.
Building Systems & Checks
19. Monitor building systems (e.g. fire alarms, lifts, HVAC panels) and escalate faults.
20. Conduct nightly checklist rounds—lighting, access points, noise complaints, etc.
21. Test fire alarm panel weekly per schedule and ensure all emergency equipment is accessible.
Accepting Deliveries
22. Receive and log parcels and post accurately.
23. Ensure secure storage of items and keep the post room tidy and organised.
24. Handle food and courier deliveries appropriately (e.g. inform residents, restrict access as needed).
Contractor/Weekend Works Management & Checks
25. Confirm contractor visits are authorised (check with FM/helpdesk/management).
26. Ensure valid work permits, job numbers, or RAMS are provided.
27. Record contractor details in the logbook (name, company, time in/out, purpose).
28. Check PPE compliance and provide emergency procedure briefing.
29. Monitor contractors during their stay and inspect work areas after completion.
30. Document all activity and flag any issues or follow-up needs.
Handover & Reporting
31. Prepare and deliver a thorough shift handover to the day reception team or weekend concierge or management team.
32. Highlight any issues, incidents, or resident feedback requiring follow-up.
