About the Role

In this role, you will assist the Senior Facilities Manager in effectively managing the Client Facilities team to ensure that an exemplary level of service is provided to the client and internal customers.

You will ensure that resources are managed by promoting an ethos of teamwork and mutual support to effectively handle peaks and troughs in workflow. Additionally, you will manage and control the activities of the Facilities team to maximise their contribution to the achievement of overall business objectives and ensure compliance to appropriate guidelines. You will support the client and stakeholders in the building with FM services and operational service delivery.

Main Responsibilities will include:

* Effectively help Facilities Manager supervise the operations team and Meeting Room Booking services, ensuring that effective resource planning takes place to ensure continuity of service delivery, and taking appropriate and approved actions to rectify any difficulties.
* Assist in the training and hiring of new members of staff and offer coaching and guidance in completing day-to-day tasks.
* Ensure that staff within the Facilities area are supported to develop to their full potential through ongoing performance reviews and the annual appraisal process.
* Action and monitor complaints or issues, ensuring that they are reported and logged in accordance with current procedures.
* Ensure that faults with any systems are reported immediately and logged in accordance with current procedures. Monitor the progress of all logged faults to ensure they are resolved as quickly as possible.
* Proactively assist in the implementation of recommendations from process improvement reviews and audits.
* Support the Facilities Manager in establishing a service where the values of teamwork, mutual support, and efficiency of operation are paramount. Instill positive values within the Facilities team of cooperation, a ‘can do’ approach, and flexibility to continually move the service forward.
* Demonstrate and promote flexibility and adaptability during staff absence by undertaking additional hours and/or swapping shifts when necessary.
* Act as an information source for general enquiries from staff and visitors.
* Work as an integral part of the overall Macro managed service and work closely with directly employed and subcontractor personnel to proactively highlight issues/complaints before they are escalated by the client staff.
* As the ‘face of Client’ for all visitors, follow a consistent approach at all times and be pro-active in dealing with ad hoc client requests, which are outside the normal scope of service.
* Assist in collating data for monthly reports and KPI figures.
* Undertake any other duties commensurate with the size and function of the roles.
* Manage resources to meet fluctuating workloads.
* Organise appropriate cover for all absences.
* Provide a customer focused service and to engender positive client and colleague relationships.
* Demonstrate attention to detail and ownership of the processes relating to areas of responsibility.
* Share site, client, and project knowledge with members of the FM team.
* Establish and maintain good working relationships with Macro and the Client staff.

About You

The ideal candidate will have:

* Ability to manage resources to engender flexibility and cooperation.
* Ability to plan rotas and organise priorities to meet fluctuating workflows.
* Strong supervisory track record.
* Excellent people management skills, demonstrating knowledge of EEO policy, showing respect and sensitivity for cultural differences, educating others on the value of diversity, and promoting a hassle-free environment.
* Ability to develop strategies to achieve organisational goals, understanding organisation’s strengths and weaknesses, and adapting strategy to changing conditions.

* Ability to work within an approved budget, develop and implement cost-saving measures and conserve organisational resources.
* Strong commitment to delivering exemplary ‘best in class’ customer service.
* Ability to problem-solve and take appropriate decisions.
* Strong ability to build rapport and strong working relationships to encourage a supportive working environment.
* Computer literacy and ability to use standard word processing and spreadsheet software.
* Positive and proactive approach to problem-solving and team working.
* Familiarity with telephone and meeting room booking systems.
* Flexibility in shift patterns to cover ad hoc sickness and leave.
* Good general standard of education
* Previous experience dealing with events planning and catering.
* Experience working in a facilities management operation.
* Previous experience of working in an outsourced contract environment.
* Degree, NVQ or equivalent
