JOB DETAILS
Job Title: Coordinator, Production Operations

Reports To: Director, Project Management

Working Hours: Typical office hours are 09:30 to 17:30, Monday – Friday (UK time zone)

Place of Work: UK HQ, Mill Court, Milton Keynes, Buckinghamshire MK12 5EU

Other: Fixed Term Contract

JOB SUMMARY
The Coordinator, Production Operations role is responsible for the administrative duties of the Land Production department, U.K and will support the Project Managers and Directors across all land-based projects. There may be occasions where there is a requirement to oversee and/or Project Manage some of the Land based contracts. The Coordinator, Production Operations will also play a crucial role in ensuring the seamless execution of client orders, from procurement to delivery. This individual will work closely with various divisions and teams including Procurement, Wardrobe, Props, Music & Media, Creative and Project Managers to support, coordinate and facilitate all aspects of the order fulfilment process.

KEY TASKS
Roles & Responsibilities include but not limited to:
1. Contracting & Payout Sheets
2. Invoicing including facilitating, tracking & payments, bill backs and updating finance
3. Ongoing payroll management for talent
4. Forecast Tracking
5. Timeline creation & Deadlines – Weekly schedule distribution
6. Attendance at production meetings where required
7. Wrike Organisation and Setup
8. Management & Inventory of Asset Storage
9. First Round Screening & Interviews
10. Assist with Shipping – Point of contact for vendors and internal procurement team on communication
11. Receiving, storage and distribution management for all orders incoming and outgoing
12. Prop sourcing and pricing
13. All Credit Card Expense Requests & Reconciliation
14. Project Management as requested or needed
15. Supporting with travel requests
16. Supporting with Procurement requests
17. Prepare, and be able to put together budgets for all clients and an understanding of budget accountability
18. Assist with daily operations
19. Land Production team calendar management
20. Meeting scheduling
21. Track Injury Reports, Daily Operation Reports and PIPs
22. Track and follow up on install reports and post-production meetings
*Note:
23. The Coordinator, Production Operations role may involve occasional travel based on business and client requirements.
24. This position may require occasional work outside of standard hours to meet project deadlines and accommodate client needs.

Qualifications & Skills:
25. Excellent interpersonal skills.
26. IT skills such as MS Word, Excel, PowerPoint, Outlook or MAC proficient.
27. Strong verbal and written communication skills.
28. Efficiency and excellent organizational skills.
29. Excellence and experience in multi-tasking projects.
30. GCSE in Math’s and English
Experience:
Experience and knowledge of the entertainment industry and/or project management.
