Internal Redeployment Only - Registry Operations Manager Applications are invited for the role of Registry Operations Manager. This is a senior role based in the Registry Operations department within Academic and Student Support Services. The role-holder will support the work of the Head of Registry Operations providing leadership and strategic direction for the project work across the department. You will oversee a culture of continuous service improvement for Registry Operations teams and undertake a range of duties: Line management of the Student Visa Compliance, Registry Support and Training and Engagement teams. Developing and advising on key processes, regulations, policies and procedures working in partnership with Heads of teams in Registry Operations, and other stakeholders including PVCs, Deans, college & school staff and SU elected representatives to contribute to the long-term Registry Operations strategic objectives. Leading internal Registry Operational projects and process reviews within and across multidisciplinary teams to ensure best practice delivery of service. Investigating issues that arise in Registry Operational processes such as system errors, considering the correct application of the regulations, whether rule and processes have been followed and possible solutions and options for remedy. Setting up systems to monitor departmental data for Registry Operations, producing dashboards and reports which can be shared with stakeholders. You will understand the internal and external requirements of the sector, translating external rules into internal actions, developing the strategy for Registry Operations ensuring that processes meet University and external requirements. As a member of the Registry Operations Leadership team, you take shared responsibility for the implementation of our values and behaviours, supporting and advising staff and colleagues. Oversee the communication and training strategy for Registry Operations delivering training and supporting and advising on internet pages, training guides and training requirements. Key Duties Support the Head of Registry Operations in their role, representing them at meetings, undertaking review or investigation of cases where issues are identified, setting up monitoring systems, preparing data and supporting departmental objectives, overseeing departmental communications with key stakeholders. Oversee the Registry Operations training plan with Heads of Teams: leading on the establishment of an annual training and development plan for School / College staff complimented by training/user guides and intranet advice. Identify requirements via engagement with professional networks across the professional services departments, schools and colleges. Provide line management for the Registry Support, Training and Engagement and Student Visa Compliance teams, undertaking all aspects of day-to-day line management including PDR, management of team priorities and strategies, managing performance, annual leave and standard line management processes. Contribute to the long-term strategic objectives and oversee projects and review internal processes such as verification of awards, supporting graduation, enrolment and departmental/university events. Contribute to the long-term strategic planning and management of the department, interpreting directorate strategy into working priorities. Working with Heads of Teams to support work to develop Regulations, Polices, Procedures and Processes to ensure they remain relevant and fit for purpose. Collating data from all Registry Operational teams, with a view to making it more visible to users and stakeholders, available to inform action planning, key deadlines and University reports and dashboards. Monitoring trends and patterns in data including EDI data for all areas of Registry Operations. Act as a delegate for the Head of Registry Operations and delegate for heads of teams and delegate for heads of teams, as appropriate, providing guidance on Operational Processes and the Regulations which underpin them. This will include investigation of operational critical incidents in management of operational processes. Provide expert advice and guidance on University Policies, Procedures and Regulations in respect of operational activities using judgement and creativity to suggest the most appropriate course of action, ensuring that complex and conceptual issues and solutions are understood by the audience. Support Heads of Teams to provide excellent customer-focused delivery and ensure alignment to the University’s strategic goals and priorities, delivering the transformational change necessary for the University to achieve its objectives in this area. Represent the department on University or AcSSS meetings, deputising for the head of department where required. This will include AcSSS health and safety committee. Undergo personal and professional development that is appropriate to and which will enhance performance. Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required. Gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate. Essential Criteria Qualifications and Education Degree/NVQ 4 or equivalent work-related experience or professional qualifications. Knowledge, Skills and Experience Substantial experience of managing a section consisting of one or more teams, balancing multiple objectives and priorities, with specialist knowledge of appropriate administrative systems and processes. Proven experience in overseeing local projects and developing and implementing new processes and procedures. Leading multidisciplinary teams working on projects and development of rules and regulations. Customer Service, Communication and Team Working Ability to communicate detailed and complex information effectively and professionally with a wide range of people. Proven ability to develop networks in order to contribute to long term developments and manage team objectives, line management and dealing with performance and welfare issues. Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered. Planning, Analysis and Problem solving Proven experience in dealing with diverse and challenging problems, including researching issues and creating new solutions where no prior precedent exists using initiative and creativity; identify and propose both practical and innovative solution. Evidence of demonstrable knowledge of key advances managing data and developing dashboards. Evidence of ability to undertake and deliver specific projects and supervise short term project teams. Desirable Criteria Postgraduate/Professional qualification. Experience of working in a Higher Education environment. Knowledge/experience of international students/immigration/UKVI (UK Visas and Immigration) requirements. Fluency in Welsh, written and oral.
