Podiatry Receptionist Brookside Clinic

This is a role for someone who enjoys variety and dealing with people in a busy office as part of a dedicated Team. Your role will be to meet and greet patients, direct them to the correct department and deal with any enquiries for the building. You must have excellent communication skills and a calm personality as you will be the first point of contact for the building. Therefore experience of working in a front line service and dealing with the public is essential as well as the ability to work under pressure.

You will be booking, cancelling and re-arranging podiatry appointments over the phone and face to face with patients using the RiO IT system. There will be other administration duties such as entering referrals, scanning documents and dealing with the post and deliveries to the building.

Knowledge of the RiO system is desirable, although training will be given if this is required. A mature attitude and a flexible approach is essential as the reception is very busy and the post holder may be asked to provide cover on occasions such as annual leave and sickness.

Main duties of the job

1. To provide efficient, and high-quality confidential reception services for all the Departments at the Brookside Clinic.
2. To work with the clinical and administrative staff of designated services in the building to provide a co-ordinated approach to services being provided.
3. The post-holder will be expected to support the admin processes within the Podiatry Department relating to data input, registering of referrals, scanning of documents, cancelling clinics, booking of appointments, and dealing with all enquiries in a professional manner.
4. The service operates between the hours of 8.00 am and 5.00 pm therefore the post-holder will be expected to be flexible in line with the needs of the service and available to cover during sickness and annual leave if required.

Person specification

EDUCATION, QUALIFICATIONS & TRAINING

Essential criteria

17. NVQ Level 3 or General Level of Education to GCSE
18. ECDL or Equivalent
19. A recognised secretarial qualification or equivalent admin/clerical experience

EXPERIENCE

Essential criteria

20. Experience of working in a frontline service such as reception
21. Ability to navigate the internet and to use email systems
22. Experience of working in a team and an office environment

Desirable criteria

23. Proficient in using Word and data entry/electronic databases

SKILLS, ABILITIES & KNOWLEDGE

Essential criteria

24. Non-judgmental attitude and able to work under pressure
25. Flexible and able to cover sickness and annual leave
26. Excellent communication skills, friendly, helpful and a positive supportive approach when dealing with a wide range of people
27. Physically capable to perform duties associated with the post including use of computer display equipment and keyboard
28. Willingness to undertake further training and develop in a changing environment
