Administrative Support Assistant (Part-time, Fixed term 12 months)
We’re looking for an Administrative Support Assistant on a part-time (22 hours per week), fixed‑term basis for a period of 12 months to provide essential administrative support to the Programming team. The start date for this role will be in January/February 2026.
The principal responsibility will be supporting the programming team across all three venues to administer the regular cultural programme and the festivals. The role will include a range of data processing, data entry and other admin tasks associated with booking and scheduling shows for performing arts venues as well as some finance admin support.
What we’re looking for
We’re seeking a highly organised individual with exceptional attention to detail and strong IT skills, including proficiency in Microsoft Office and other software programs. The ideal candidate will be a proactive team player, comfortable working both independently and collaboratively across multiple teams.
What you’ll be doing
* Assisting with the delivery of the cultural programme.
* Ensuring that our event management software, Artifax Event, and our project management software Asana are always up-to-date with any information required.
* Support Programmers with producing, issuing and monitoring contracts, settlements, invoices, etc.
* Assist with the prioritisation of emails and enquiries in each venue inbox. Ensuring communication is dealt with efficiently and appropriately followed up.
* Providing information to artists and answering queries to ensure they have all they require for a successful performance at Aberdeen Performing Arts venues. Support the communication of information across the team and wider staff.
* Working with the Cultural Programming Coordinator to ensure that any required artist travel and accommodation is booked within budget and on time.
* Attending and contributing to regular venue planning meetings and being fully informed of upcoming requirements.
* Artist liaison: Occasional weekend and evening work might be required.
