We are looking for a proactive Health Records Team Leader to oversee our day‑to‑day Health Records operations—ensuring patient records are managed safely, accurately and efficiently across clinic preparation, tracking, scanning, and information governance.

Working closely with the Head of Digital Transformation, you’ll play a key role in driving best practice, motivating the team, and supporting our move towards improved digital records management.

About the role

What you’ll be doing

As our Health Records Team Leader, you will:

Lead, inspire and develop the team

* Provide clear leadership, guidance and 1:1 coaching to ensure the team delivers agreed service levels and objectives.
* Foster a supportive, collaborative culture focused on quality, accuracy and service excellence.

Manage day‑to‑day operations

* Plan, monitor and schedule daily workloads to ensure timely clinic preparation and dispatch.
* Oversee add‑ons, week‑ahead pulling, and ensure smooth workflow across the department.

Ensure accuracy and compliance

* Maintain accurate tracking and control of records in Compucare, including check‑in/out and location updates.
* Ensure correct use of tracking logic, including off-site/Restore status conventions.

Deliver high standards in scanning and record quality

* Oversee full prepping, scanning and categorisation processes to ensure documents are prepared correctly and filed in the right sections of the patient record.
* Uphold rigorous information governance standards at all times.

Manage sensitive processes with professionalism

* Oversee high‑risk and sensitive record workflows, including SARS and deceased patient record requests.
* Ensure statutory timescales, approvals and secure disclosure routes are followed.
* Coordinate required actions following notification of a patient death.


Skills and experience required

* Proven experience leading/supervising a team (coaching, allocating work, supporting performance and wellbeing).
* Experience working with document management tools and digitising legacy processes.
* Experience in a healthcare setting would be advantageous.
* Strong working knowledge of refining document management processes, including preparation, tracking and turnaround for urgent changes.
* Practical experience of prepping, scanning and document categorisation, including quality checks and attention to detail.
* Confident user of IT systems and Microsoft tools (excellent IT skills).
* Good understanding of information governance, confidentiality and data protection in document handling and disclosure work.
* Highly organised with ability to prioritise competing demands, meet deadlines, and keep services running smoothly.
* Clear communicator with strong stakeholder management skills across a wide variety of stakeholders.
