As an integral member of the Metroline Manchester Network Performance Team, the Mileage Administrator provides essential administrative support to the depot management teams, ensuring the accurate reconciliation of lost mileage, compliance with contractual obligations, and effective handling of incident and accident records. The role contributes to maintaining the smooth and efficient operation of depot functions while upholding internal and external compliance standards. The Milage Administrator will also assist with broader administrative tasks across the Performance Team, including managing records, auditing processes, and promoting positive employee relations to support operational goals.

Main Responsibilities
Mileage Administration & Reconciliation:
* Reconcile and annotate lost mileage records, ensuring accuracy and completeness.
* Compile lost mileage returns using relevant systems and audit them for compliance with contractual agreements.
* Perform regular audits to identify and address discrepancies, reporting findings to line managers. Incident & Accident Reporting:
* Record and maintain detailed logs of all garage incidents and accidents.
* Input incident data into designated systems, such as IRIS, and ensure information is kept up-to-date and accessible.
Compliance & Auditing:
* Monitor and audit garage procedures to ensure compliance with Metroline standards and TfGM contractual requirements.
* Generate detailed audit reports and collaborate with team leaders and managers to address any gaps or inconsistencies.
Employee Relations:
* Promote positive employee relations by ensuring effective communication and implementing best practices.
* Assist in creating and managing efficient working patterns to facilitate smooth garage operations.
General Administrative Support:
* Handle correspondence, including managing depot mail (internal and external).
* Maintain and update records related to staff, equipment, and property issued to employees.
* Document lost property and ensure proper dispatch procedures.
* Monitor stock levels of essential items such as ticket rolls and stationery, reordering as needed to maintain uninterrupted operations.
* Compile payroll data for garage staff and process external charges within specified deadlines.
* Prepare minutes for garage meetings and distribute them as required.
* Respond to public complaints and Police inquiries, ensuring compliance with company policy and legal obligations.
