Waiting List Senior Co-ordinator

The Newcastle Eye Centre at the Royal Victoria Infirmary is looking to appoint a 15 hour Waiting Lists Senior Co-ordinator. This post will work along with the existing Waiting List Senior Co-ordinator.
We are looking for candidates with a Business Management Qualification (NVQ Level or equivalent) or equivalent experience, good standard of English, excellent communication skills, previous supervisory experience and significant NHS experience in waiting list management.
Applicants must be well organised and be able to prioritise work. Applicants will be expected to work flexibly to support the department and should be able to work under pressure to ensure deadlines and targets are met.

Main duties of the job
The postholder will be expected to:
* Understand and apply the Patient Access Policy to their everyday activity, ensuring that patients are managed fairly and contributing to the ability of the Trust to maintain waiting time targets
* Ensure systems and procedures used by the team are operating effectively and within the context of the Trust's policies and priorities
* Accountable for ensuring patients at risk of breaching are managed with supervision from Outpatient/Admin Service Lead
* Consult with the Heads of Department, Clinical Director, Matron, Operational Service Manager and Outpatient/Admin Service Lead to plan and organise theatre sessions maximising the utilisation of available theatre capacity in line with waiting list targets and objectives
* Team Leader to the Waiting List Office Team based at Newcastle Eye Centre
* Support Outpatient/Admin Service Lead with weekly PTL, long waiters and validation of both IPWL and OPWL including attendance at Trust/Departmental meetings

Job responsibilities
* The post holder is expected to understand and apply the Patient Access Policy to their everyday activity, ensuring that patients are managed fairly and contributing to the ability of the Trust to maintain waiting time targets.
* The Waiting List Office administrative service will contribute towards a systematic approach to delivering the NHS Plan commitments for access to elective and day case surgery, specifically the drive to guarantee maximum waiting times and introduce Patient Choice through booking systems. The sensitivity around clinicaland management priorities will require the post holder to work with and have the confidence of Consultants and Directorate Managers. Communication with patients will be proactive, inviting discussion and consultation around their preferences and availability. Patient focus and Customer Care will be a fundamental element of the service, delivered via written, telephone and face to face contact. Patient confidentiality must be observed at all times.
* The post holder is the line manager to the Waiting List Office Team based at the Royal Victoria Infirmary. It carries specific responsibilities for ensuring the systems and procedures used by the team are operating effectively and within the context of the Trust's policies and priorities. The post holder will be accountable for ensuring that patients at risk of breaching are managed under the supervision of the appropriate Directorate Manager for the relevant specialty.
Person Specification
Qualifications
* Management qualification (NVQ level 4 or equivalent) or willingness to undertake or equivalent experience
Knowledge
* NHS IT Systems
* Understanding of the NHS Plan, specifically Patient Access, Booking and Choice
Skills
* Good communication Skills with the wider multi-disciplinary teams, Accommodate Barriers to understanding
* Demonstrate problem solving skills
Experience
* ECDL or equivalent experience
* Previous supervisory experience
