Description
* Provide comprehensive secretarial and administrative support to conveyancing solicitors.
* Prepare, format, and process legal documents and correspondence (e.g. missives, dispositions, standard securities).
* Handle audio and copy typing of legal documents with accuracy and speed.
* Manage incoming and outgoing communications including telephone calls, emails, and letters.
* Maintain and update client files in accordance with Law Society of Scotland guidelines.
* Liaise with clients, estate agents, mortgage lenders, and Registers of Scotland.
* Carry out title and property searches, order reports, and assist with drafting and revising documents.
* Manage solicitor diaries, schedule appointments, and coordinate key dates in transactions.
* Process payments, deal with client accounts, and assist with completion and settlement procedures.
* Ensure compliance with AML (anti-money laundering) regulations and data protection requirements.
* Perform general office tasks including filing, photocopying, and mail handling.
Profile
* Proven experience as a Legal Secretary in a conveyancing department (preferably in Scotland).
* Good understanding of Scottish conveyancing processes and terminology.
* Proficient in Microsoft Office and legal case management systems
* Strong typing skills (audio and digital dictation).
* Excellent communication and interpersonal skills.
* Attention to detail and ability to work under pressure to meet deadlines.
* Discretion and professionalism in handling confidential information.
