Job summary

The main purpose of the role is to facilitate the efficient running of the unit by receiving patients onto the unit, ensuring all patients are checked in and out and that future appointments are booked. The post holder will also assist the medical and nursing teams with clerical tasks. All aspects of administration will be conducted according to Standard Operating Procedures (SOPs) and trust policies.

This is a permanent full time post (37.5 hours) to be worked across Monday to Friday. A Standard DBS will be required.

The postholder must have NVQ Level 2 in a relevant subject as well as transferable experience.

Evidence of qualifications, listed in the essential criteria on the person specification. Will be required at interview and during compliance checks.


Main duties of the job

* Cover the cancer care suite reception as per rota.
* Resolve issues arising in own role, such as cancellation of patient appointments and missing patient notes.
* Use own initiative to liaise with clinical staff where necessary regarding patient queries.
* Use patient information systems to assist patients and staff with solving issues including Christie IT systems
* Apply knowledge to correctly code treatment appointments and first definitive treatments.
* Assess patients' demographic details and alert management if they do not reach eligibility criteria for treatment in the NHS
* Provide comprehensive advice to patients/relatives regarding appointments

Job responsibilities

Key results from the job holder

Cover the cancer care suite reception as per rota.

Resolve issues arising in own role, such as cancellation of patient appointments and missing patient notes.

Use own initiative to liaise with clinical staff where necessary regarding patient queries.

Use patient information systems to assist patients and staff with solving issues including Christie IT systems

Apply knowledge to correctly code treatment appointments and first definitive treatments.

Assess patients demographic details and alert management if they do not reach eligibility criteria for treatment in the NHS

Provide comprehensive advice to patients/relatives regarding appointments.

Signpost patients to other areas of hospital.

Planning and Organisational Duties

Plan for patient admissions, appointments and discharge

Clinic preparation to ensure that all clinical notes and forms are present.

Make alterations to clinic structure to accommodate arrival of unexpected patients.

Use the IQEMO scheduling system to book patients for treatment.

Re-arrange clinics to accommodate staff absence.

Ensure that annual leave does not occur at the same time as colleagues.

Provide cover for colleagues across the Division and at other trusts who deliver chemotherapy activity in times of sickness and annual leave therefore will be familiar with systems and processes in all areas.

Update patient demographic details in patient information system

Enter patient appointments and outcomes in patient information system

Track patient notes in patient information system

Print forms to attach to patient notes

Print out daily clinic lists

Communications and Key Working Relationships

Exchange information with patients and staff on the admission and discharge of patients, both verbally and in written format.

Communicate complex information about chemotherapy appointment schedules to patients.

Communicate with patients who may be anxious, angry or upset.

Exchange relevant information with GPs and other health professionals.

Deal compassionately with distressing situations.

Liaise with other members of staff regarding case notes and patient visits.

Maintain patient confidentiality at all times.

Responsibility for Finance

Handle financial donations, frequently made by patients visiting the unit

Ensure that office supplies are adequate, ordered and obtained for the smooth running of the unit

Responsibility for Human Resources

To provide induction support to new post holders

Demonstrate workplace routines to less experienced members of staff

Responsibility for Health & Safety

Compliance with the Health & Safety at Work Act 1974 the post holder is required to fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.
