Role overview: Reporting to the Group Facilities Manager, the Office Services Coordinator will proactively ensure the smooth running of the Sheffield office. Providing a professional front of house service, organising the smooth running of the meeting rooms and other facilities. In addition, you will be responsible for all day-to-day services including liaising with external service providers such as cleaning companies, maintenance contractors and the landlord. Key Responsibilities: Reception and Meeting Room Administration General reception duties as and when required, for example, meet and greet visitors, liaising with internal employees on meetings. Organise meeting room bookings effectively, managing the booking system and set up and down meeting rooms as required. Liaise with external catering companies for catering of meetings/ other events. Be responsible for providing external guest refreshments if required. To provide administrative support to the office as required e.g. bulk mail, mail merges and ad hoc requests. Office Services Manage the relationship with the cleaning company, ensuring highest levels of cleanliness and tidiness are adhered to Ensuring procurement/ordering of office supplies and stock management as required including supplier management, the ordering of stationery process for the Sheffield office as well other Tes offices, Organising external catering for lunch's etc.as required. Manage security pass procedure, ensuring all employees have the relevant passes. To maintain seating and desk allocation plans. Manage and distribute mail and couriers. Oversee contractors, landlord & staff regards maintenance issues & repair Provide facilities assistance in via helpdesk job logging process, relating to building, electrical/ machinery, furniture. Support with clear desk policy and management of locker allocation. To provide administrative support to the office as required Provide cover for the Office Services in other offices as required. Health and Safety Provide risk assessments & implementation of policies and to maintain documentation in line with health & safety. To assist in the DSE safety process & report relevant statistics. Undertake First Aid and Fire Warden duties, training provided. Organise first aid and fire warden refresher training and manage the rota of wardens. Be responsible for the safe working of the office. Any other ad hoc duties and reasonable requests will be expected. What will you need to succeed? Essential Skills/Qualifications Excellent communication and interpersonal skills with ability to deal with people at all levels. Articulate and Numerate Sound organisational skills and to be able to priorities busy work schedule. Experience with Microsoft word and excel Ability to respond to changing demands. Customer focused Responsive and inquisitive Proactive Desirable Skills/Qualifications Basic understanding of Health & Safety Manual Handling Contractor control Front of House experience Relevant experience in Post room, porterage & general admin Customer service Able to show evidence of budgetary control. Evidence of working well under pressure and meeting strict deadlines Evidence of managing third parties Able to work on own initiative / experience working in a standalone role.
