Job Title: Patient Administrator - Emergency Department (Chelsea and Westminster Hospital)
Reporting to: Key Account Manager

We are seeking an experienced and proactive Patient Administrator to manage and coordinate facilities management services within the Emergency Department. This role is critical to ensuring a safe, efficient, and high-quality environment for patients, staff, and visitors, while supporting smooth day-to-day operations.

The successful candidate will act as the central point of coordination for portering, cleaning, reception hosting, and security services, using systems such as Portzo, Synapse, and ServicePoint to optimise workflows and task management.

Key Responsibilities
Act as the central coordinator for all facilities management activities within the Emergency Department
Supervise and organise porters, cleaners, reception hosts, and security officers to ensure effective deployment and operational efficiency
Use Portzo to manage porter scheduling and geo-tracking, supporting patient flow and service delivery
Utilise Synapse and ServicePoint for task logging, performance monitoring, and continuous service improvement
Liaise with the helpdesk to log and manage reactive tasks, ensuring timely and effective responses
Ensure full adherence to safety, security, and service protocols, maintaining high quality standards
Work collaboratively with clinical teams to align operational services with patient care requirements
Oversee security operations to ensure a safe environment for patients, staff, and visitors
Conduct regular inspections to monitor cleanliness, efficiency, and compliance
Support staff training, including Livv-certified customer service training for reception hosts and SIA-approved security training

Skills and Experience
Valid SIA licence (essential)
Experience in facilities management, ideally within a healthcare or emergency department setting
Proficiency in systems such as Portzo, Synapse, and ServicePoint (training can be provided)
Strong organisational and coordination skills with the ability to manage multiple workstreams
Confident communicator able to work effectively with operational and clinical teams
