Job overview

To provide a full range of administrative and receptionist support to the CBT Team/Pathway Navigators and maintain a functional working environment. The postholder will work as a fully active member of the department covering all aspects of an administrative role.


Main duties of the job

The postholder will be

Responsible for the co-ordination and preparation of day clinics.

Schedule appointments on HIVE.

Liaise with the Pottering Service regarding inpatients transportation from ward to medical units

Liaison with medical/nursing staff regarding urgent appointments

Responsible for the co-ordination of out of hours waiting list initiative clinics without the supervision of the Unit Administrator Manager

Note arrival of patients and advise staff as appropriate

Be responsible for cancellation of clinics under instruction of Unit Administrator Manager

Be responsible for dealing with patient enquiries including using initiative to appropriately handle sensitive issue

Responsible for the continual validation of waiting lists

Assist in the training and supervision of new staff at Admin & Clerical Grade 2 & 3 level

To assist other sections of the GI Medicine and Surgery Clinical Service Unit (CSU) with similar duties at times of acute staff shortages

To answer telephone calls from patients and colleagues and respond to any messages

Provide administrative support to MDT meetings

Person specification


Education

* Educated to GCSE standard (English)
* Educated to NVQ Level 3 or RSA Level 3
* Evidence of development in current role


Experience

* Minimum 3 years administrative experience with at least 2 years of this experience gained in an administrative/clerical capacity within the NHS
* Experience of working in a customer service environment
* Experience of using PAS
* Previous care environment experience
* Previous experience of establishing/developing departmental systems


Knowledge

* Competent in Word, Excel and E-Mail
* Good working knowledge of HIVE waiting list/pre-admission and/or outpatient functions
* Good working knowledge of Trust policies
* Knowledge of requirements of patients
* Knowledge of Trust IT systems


Skills

* Excellent organisational/prioritisation skills – able to prioritise workloads
* Excellent written and verbal communication skills – including the ability to communicate sensitive information to all levels of staff
* Ability to manage and prioritise own work and that of others
* Good quality keyboard skills with ability to input essential information accurately
* Ability to train/induct new members of staff

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
