Overview
We are a GP Practice based in Turriff, Aberdeenshire looking for a suitable candidate interested in a career in Business and Administration to join our friendly team. This opportunity will allow the recruit to develop their skills and knowledge in customer care, administration, team working, IT and communication. The successful candidate will provide high quality, professional reception and administrative service to patients, and clinicians. As part of a reception team they will act as first point of contact for patients undertaking a wide range of tasks across all areas of general practice administration covering our reception, prescriptions, appointments, results and secretary desks. The successful candidate will be enrolled on to a Business and Administration Level 6 Modern Apprenticeship.
Responsibilities
* Telephone Call Handling
o Handle calls with compassion and understanding
o Book / amend / cancel appointments in line with practice protocols
o Signpost callers to external agencies as appropriate
o Resolve enquiries from callers in line with practice protocols and external service availability
o Provide patients with test results based on clinicians responses and follow-up requirements
* Reception Duties
o Welcome patients and visitors to the practice in a professional, courteous manner
o Manage patient registration process
o Manage practice patient email accounts
o Maintain and replenish stock of forms available for patients completion
o Maintain register and manage return of medical equipment loaned to patient
* Prescriptions
o Process requests for repeat medication in line with practice processes ensuring accurate and timely completion
o Liaise with patients, clinicians, local community pharmacies and external NHS Teams to resolve queries
o Process requests for medication from wider NHS departments and external agencies
o Maintain security of prescription stationery
* Document Management
o File documents accurately and timely into patients records from electronic and manual systems
o Workflow documents to admin team and clinicians appropriately and accurately
* Referral Management
o Submit referrals to hospitals and departments for patients following clinical consultations
o Run searches on database to ensure work tasks are completed and take forward any actions outstanding

* Confidentiality — Patients, staff and business confidentiality is integral to the maintenance of trust placed in us by our patients, colleagues and partners. It is essential that if the legal requirements are to be met and the trust of our patients and colleagues is to be retained that all staff protect confidential and sensitive information adhering to practice protocols and data protection policies at all times.
* Multi-Disciplinary Team Working — Team working is required routinely and effective communication is essential to allow the sharing of information accurately, timely and effectively to support patient care.
* Security — The security of data, premises and equipment is the responsibility of all staff working within the health centre and adherence to practice protocols is required.
* Professionalism — Staff uniforms and name badges are provided and should be worn during working hours. Social media use to post content about the practice, colleagues or wider NHS is not permitted. Mobile phone usage during working hours is not permitted.
