Description Role: Executive Assistant Location: Ipswich/London (Hybrid working available) Key Responsibilities Diary & Meeting Management Manage the calendars of the COO and Head of Operations, scheduling internal and external meetings, including governance forums and committee sessions. Prepare agendas, coordinate logistics, and ensure timely distribution of meeting materials. Attend key meetings to capture minutes and follow-up actions. Governance & Reporting Support Assist in the preparation and collation of governance packs, including minutes, action trackers, and regulatory submissions. Liaise with committee secretaries and stakeholders to ensure timely updates and compliance with governance protocols. Communication & Liaison Act as the first point of contact for the COO and Head of Operations, handling correspondence with professionalism and confidentiality. Coordinate communications between leadership and internal teams, clients, and external partners. Team & Project Support Provide administrative and coordination support to the wider operations team. Support COO-led and Head of Operations-led initiatives, including transformation programmes, operational reviews, and strategic planning. Track progress on key deliverables and escalate issues where necessary. Administrative Excellence Maintain accurate records, filing systems, and document management aligned with company standards. Process expenses, travel arrangements, and other administrative tasks efficiently. Qualifications Skills & Experience Required: Proven experience as an Executive Assistant or PA supporting C-suite executives and senior leaders, ideally within financial services or regulated environments. Exceptional organisational and time management skills. Strong written and verbal communication abilities. High level of discretion and professionalism. Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint). Familiarity with governance processes and committee operations is highly desirable. Personal Attributes Proactive and resourceful with a problem-solving mindset. Calm under pressure and adaptable to changing priorities. Collaborative and confident in engaging with senior stakeholders and wider teams.
