We are working with a leading catering and events company to recruit a Personal Assistant (12-Month Maternity Cover)
Our client is an award-winning catering and events business known for delivering exceptional experiences across high-profile events and private functions. They are seeking an experienced and highly capable Personal Assistant to support two senior leaders during a 12-month maternity cover period.
This is a pivotal role within a fast-paced, creative environment where no two days are the same. The successful candidate will be organised, adaptable, and confident managing both professional and personal support at senior level.
Location: West London (4 days office-based, 1 day working from home after probation)
Hours: Monday–Friday, 9:00am–6:00pm
The Opportunity
You will provide dedicated support to two senior executives, managing demanding schedules and acting as a trusted gatekeeper and liaison across the business. This role requires someone who thrives under pressure, anticipates needs before they arise, and takes pride in delivering seamless support.
The ideal candidate will bring proven experience supporting C‑suite or director‑level executives within a dynamic, fast‑moving organisation.
Key Responsibilities
* Manage complex and ever‑changing diaries, proactively resolving scheduling conflicts
* Coordinate meetings, appointments, and internal communications
* Arrange comprehensive travel itineraries including transport, accommodation, dining and detailed travel packs
* Draft, edit and proofread emails, presentations, bios, press materials and company documents
* Manage expenses accurately and efficiently
* Handle confidential information with complete discretion
* Act as gatekeeper, prioritising and filtering requests
* Provide personal administrative support including appointments, reservations and ad hoc tasks
* Act as a central communication link between directors and the wider team
* Organise weekly internal meetings (agenda preparation, logistics, minutes)
* Support day‑to‑day operations and assist team members with urgent matters
* Coordinate company events and social gatherings
* Oversee client gifting initiatives and hospitality experiences
* Prepare for client tastings and office visits
* Manage office supplies, maintenance, stock and supplier relationships
* Liaise with third‑party providers including facilities, IT and service contractors
About You
* Proven experience supporting senior executives in a high‑energy environment
* Exceptionally organised with strong attention to detail
* Proactive, resourceful and solutions‑driven
* Calm and composed under pressure
* Strong written and verbal communication skills
* Technically confident, with excellent Microsoft Office skills (PowerPoint and Excel in particular)
* A collaborative team player with a positive, adaptable mindset
* Discreet and trustworthy with sensitive information
