We are seeking a highly organised and detail-oriented Team Administrator to support our team in various administrative tasks. The ideal candidate will possess strong office experience and be proficient in a range of computer applications, ensuring smooth operations within the office environment.
Based in our Patchway office, you will play a pivotal role, offering administrative support to our Internal Operations team. Your efficiency and attention to detail will be key to helping us deliver our services effectively, and you will be vital in in supporting the smooth running of our Charity.
This is a 21 hour per week role, with the potential for up to 25 hours per week.
You'll be the go-to person for a range of essential functions, from a broad range of administrative tasks and supporting our Board, to handling general enquiries and managing our recruitment administration processes.
You'll be responsible for:
* Recruitment Administration: From advertising to liaising with applicants and recruiting managers, and preparing applications for shortlisting, ensuring 100% accuracy and a well-managed process.
* Administrative Support for the Board: Handling arrangements for Board meetings, including room booking, equipment and refreshments. Helping to prepare and distributing agendas and papers, and taking accurate minutes..
* Organising and Planning:
* Finance and Resources: Maintain, order and take receipt of stationery and essential items, in line with the Organisational policies.
* Information Resources: Using the relevant computer systems, accurately input and retrieve members of staff and client information, updating where necessary.
* General Enquiries: Acting as the first point of contact for the charity, handling phone calls and emails, and directing enquiries appropriately.
* Team Administrative Support: Establishing good working relationships with the wider Southern Brooks team, and working closely with the Internal Operations Manager to constantly improve the Internal Operations service.
There will also be opportunities for you to get out from behind your desk, by helping out at our fun events in the communities we serve, or attending our whole staff meetings and events. We have annual Summer and Winter get togethers where the focus is on fun and connection and - importantly - switching off from our every-day work
