Receptionist

The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate, working proactively and accurately in a fast-paced environment to deliver high-quality service. The post holder will liaise with internal and external customers, building excellent relationships and providing an efficient, professional reception service. They will work as part of the Facilities Team, offering flexible support and covering for colleagues when necessary, with full training provided.


Key Responsibilities

1. Assist with room booking requests via telephone or email, managing bookings and escalating issues to the Manager.
2. Use the MICAD Room Booking System to prevent double bookings.
3. Cancel and reschedule bookings to accommodate priority meetings as needed.
4. Act as the first point of contact for visitors, ensuring a welcoming and courteous attitude, and managing sign-in procedures.
5. Contact staff to announce visitor arrivals and ensure all reception duties are completed accurately and promptly.
6. Respond to emails received in the generic reception account and handle requests and queries.
7. Prepare meeting rooms prior to meetings, ensuring AV equipment is operational.
8. Liaise with the Logistic Team to arrange room layouts and partitions.
9. Process car parking payments and coordinate with the Help Desk Team regarding payments.

Working Hours and Benefits

Shift patterns include Saturday (midnight to midnight), weekdays after 8pm and before 6am, Sundays, and public holidays.
