Purpose of Job:
The Project Coordinator will provide professional, structured delivery support to a large‑scale, multi‑organisation Copilot Adoption & Change Management (ACM) Programme. The role ensures consistent, high‑quality coordination across a geographically distributed and tiered customer base, aligned to a formal enablement framework.
This role ensures:
* Programme activities and resources are scheduled and governed effectively.
* Accurate and timely billing of completed deliverables.
* Budget, forecast, and actuals reporting is kept accurate and up to date.
* Programme toolsets are maintained with high‑quality data.
* Customer‑facing reporting and documentation are produced to a high standard.
* Consultants are fully enabled through clear structure, documentation, and communication.
* All meetings include agendas, expected outcomes, and attendee lists, with actions and minutes circulated promptly.
The position plays a central role in coordinating regionally delivered workshops, structured ACM engagements, and multi‑workstream activities across a complex national change and enablement programme.
Key Responsibilities:
Programme / Engagement Setup
* Ensure all new engagements are created within the appropriate toolsets, have the necessary paperwork in place and are allocated to the appropriate Consultancy and Project Management resources.
* Ensure required documentation, approvals, and assignments are in place.
* Allocate resources in alignment with project schedules and delivery cadence.
Delivery Coordination
* Support day‑to‑day coordination of multiple concurrent workstreams.
* Maintain the central programme schedule, milestones, and resource plan.
* Provide governance support coordination, and technical enablement scheduling.
* Coordinate regionally delivered workshops.
Governance & Reporting
* Support programme‑wide reporting, including progress, blockers, risks, and dependencies.
* Prepare and maintain structured reporting dashboards and summaries.
* Ensure consistent communication and alignment across all stakeholders.
Consultant & Resource Enablement
* Support Consultants in preparing structured documentation, templates, and engagement packs.
* Coordinate check‑ins, action tracking, and follow‑up tasks.
Documentation & Quality Assurance
* Maintain programme documents, outputs, reports & sign‑offs.
* Ensure accuracy, consistency, and compliance with structured ACM methodologies.
Individual Responsibilities:
* Support project scoping and resource scheduling.
* Track delivery against agreed timelines and deliverables.
* Work closely with Account Management, Service Delivery, and Governance teams to communicate progress and issues.
* Produce and maintain customer‑facing documentation, including status reports, stage reports, and sign‑offs.
Experience
* Accreditation in, or able to demonstrate a good understanding and practical working knowledge of a recognised project management methodology such as PRINCE2.
* Experience of working within technology, software, or digital‑transformation environments.
