Hours – 35 hours per week (Monday to Friday 9am – 5pm)

Our client is looking for a Clinical Administrator to join their team on a permanent basis.

Responsibilities
•The main priority of the Hospice Administrator will be to provide support to the clinical team.
•Supporting the Clinical Administration team with inputting data on to the relevant systems including new referrals, updating information and patient notes
•In addition, the postholder will co-ordinate the day to day running of the hospice administration facilities including ordering, monitoring and maintaining the levels of office stationery supplies and refreshment supplies
•Efficiently sort, distribute and monitor both out going and incoming mail
•Order re-order and distribute staff uniform
•Ensure all office equipment such as the printers, photocopiers, franking machine is fully functioning. All faults to be dealt with promptly and consumable supplies available to ensure continuity of service.
•Manage patient bookings for the day centre unit ensuring clinical notes are updated for attendance and non-attendance and notifying the relevant CNS of any patient issues
•Manage the text reminder service for patient and client appointments
•Act as first point of telephone contact regarding Day Centre for the consultant and team, accurately record messages and pass on all appropriate enquiries in a timely manner
•Support the counselling team with diary management and booking of client sessions
•Manage bookings for complementary therapies ensuring cancellations are filled to provide value for money
•Manage room bookings including hospitality for meetings and events providing any additional support as required
•To support the Practice Manager and Financial & Commercial Director in the efficient running of the telephone system. This includes reporting faults and seeing them through to conclusion alongside training staff and volunteers on the system and communicating any changes to the system.
•Ensuring all new starters have a mobile phone and are set up on the system. Managing the online administration of the account, by ensuring that all starters and leavers are updated on the system and our client is being billed correctly
•Respond to telephone queries, including contact with distressed patients, clients and families, dealing with calls in a professional and courteous manner whilst maintaining confidentiality.
