We are currently partnering with a well established respected operator in the early years sector to support them in finding a Part Time Executive Assistant. You can be based in either Hertfordshire or Milton Keynes. (Part Time)
This is a part-time role working either three or four days per week. If working four days, there will be the opportunity for one day to be worked from home and the hours will be reduced.
Key Responsibilities:
* Inbox Management: Monitor and prioritise the Director’s emails, ensuring timely and appropriate responses.
* Diary Management: Manage the Director’s busy diary, organising meetings, appointments and travel arrangements.
* Meeting Organisation: Schedule meetings, prepare agendas, circulate minutes, and coordinate follow-up actions.
* Expense Management: Process and manage expense claims, invoices, and reimbursements with accuracy.
* Stakeholder Liaison: Build and maintain positive relationships with internal and external stakeholders on behalf of the Director.
* Maintenance Oversight: Manage and coordinate maintenance requests across nursery sites, ensuring issues are promptly addressed.
* Document Preparation: Draft, proofread and format correspondence, presentations, reports, and other business documents.
* Project Support: Provide administrative support on key projects, assisting with tracking deadlines and progress reports.
* Event Coordination: Assist in the planning and organisation of internal and external meetings, events, and leadership away days.
* Record Keeping: Maintain accurate electronic and paper filing systems, ensuring easy retrieval of important documents.
* Confidential Support: Always handle sensitive information with discretion and professionalism.
* Reporting: Prepare and collate regular reports, including operational updates, project summaries, and key performance data, to support the Director in decision-making.
* Office Supplies and Admin: Monitor office supplies for the leadership team and place orders as needed.
* Travel Coordination: Book travel and accommodation for the Director and wider team when required.
* General Administrative Support: Support the wider leadership team on an ad-hoc basis, stepping in where necessary to assist with administrative or organisational tasks.
About You:
* Previous Executive Assistant experience, ideally supporting senior leadership or Founders.
* Warm, well-presented and professional, with a positive and proactive attitude.
* Exceptional attention to detail and organisational skills.
* Confident juggling day-to-day administrative tasks with larger, more complex projects.
* Strong written and verbal communication skills.
* Discreet, reliable and capable of handling sensitive and confidential information.
* A flexible approach, with the ability to adapt to a fast-paced and dynamic environment.
* Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel).
