Cwm Taf Morgannwg University Health Board is recruiting an organised and reliable Administrative Support Officer to join the Estates team. This role plays an important part in supporting the delivery of safe and effective services by providing a comprehensive administrative and helpdesk function.
You will operate the Estates Helpdesk, responding to maintenance requests, logging and tracking jobs, and ensuring queries and urgent issues are dealt with promptly. Acting as a key point of contact, you will communicate with staff, contractors and visitors, providing updates and resolving enquiries professionally.
The ideal candidate will have experience working in a busy office environment, strong organisational skills and the ability to prioritise competing demands. Excellent communication skills and a proactive, flexible approach are essential to succeed in this varied and fast‑paced role.
Responsibilities
* Provide administrative support to the Maintenance & Capital Sections of the Strategic & Planning Directorate.
* Handle a busy Help Desk, logging and tracking maintenance requests.
* Use various databases for data input, timesheet feedback, and Oracle financial system.
* Transcribe meeting minutes (desirable).
* Maintain good communication, telephone manner and keyboard skills.
* Work under pressure and be part of a team.
Welsh Skills Desirable
This post is advertised as Welsh Desirable. This doesn't mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short‑listing and selecting candidates. This isn't 'fluency', just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health. Qualifications
* Good general standard of education with RSA/OCR III or equivalent level of knowledge and experience in typing or word processing.
* IT related qualification and Certificate in Business Administration.
Experience
* Experience of working in a busy office environment.
* Experience of working within an Estates/Capital based environment.
Skills
* Excellent communication and customer care skills with a good telephone manner.
* Ability to retrieve information and run reports from various software packages.
Knowledge
* Knowledge of office procedures and a sound knowledge and understanding of confidentiality.
* Knowledge and understanding of working with guidelines, policies, and procedures.
