Receptionist/Admin - Immediate Start!
Job Overview:
We are seeking a professional, reliable, and friendly Receptionist/Administrator to join our client to support a busy medical practice based in Belfast. The successful candidate will play a key role in providing high-quality front-of-house service to patients and delivering essential administrative support to the clinical and management team.
This is a part-time position, working 3 days per week, with flexibility required to provide cover across the full working week when needed (e.g., for holiday or sickness cover).
This is a 4-week temporary cover. (Possible extension)
Duties:
1. Greet and assist patients and visitors in a courteous and professional manner.
2. Answer telephone calls promptly, directing calls appropriately or taking accurate messages.
3. Book, amend, and cancel patient appointments using the clinical system.
4. Check in patients for appointments and manage patient flow in the waiting area.
5. Handle patient enquiries in person, by phone, or email.
6. Process prescription requests and repeat prescriptions in line with practice protocols.
7. Ensure the reception area is tidy, welcoming, and well-stocked with relevant information.
Administrative Duties:
8. Maintain and update patient records accurately and confidentially.
9. Manage incoming and outgoing correspondence, including scanning and filing documents.
10. Assist with administrative tasks such as recalls, registration of new patients, and responding to emails.
11. Liaise with clinical staff, external agencies, and other healthcare providers.
12. Support the Practice Manager and clinical team with general administrative duties as required.
13. Ensure adherence to confidentiality, GDPR, and safeguarding protocols at all times.
Person Specification:
Essential:
14. Previous experience in a customer-facing or administrative role.
15. Excellent communication and interpersonal skills.
16. System knowledge with Vision
17. Strong organisational skills and attention to detail.
18. Ability to work effectively in a fast-paced and sometimes pressured environment.
19. Competent IT skills including use of email, word processing, and databases.
20. Flexible approach to working hours and tasks.
Working hours: Monday-Friday, 8:30am - 18:00pm (Flexible with start and finish time)
Pay Rate: £12.50p/h (Weekly Pay)
