Overview
A part-time Team Administrator role within the PATH (Early Intervention in Psychosis team in Hertfordshire) & ARMs (At Risk Mental State) services. The role is based at the Radlett office.
Responsibilities
* Provide comprehensive administrative support to the PATH & ARMs team.
* Ensure accurate data entry on the Patient record system and produce data for audits.
* Handle telephone calls promptly and professionally, and manage visitor inquiries with confidentiality in mind.
* Sort and issue incoming post and stamp or frank outgoing mail.
* Log faults with Estates and book clinical and meeting rooms across multiple hub sites.
* Order IT equipment, mobile phones, stationery, lone worker devices and other staff equipment; manage IT access for new and existing staff.
* Coordinate and manage rosters to support service managers with oversight of staffing levels, including sickness, annual leave and agency work.
* Manage car permits issuance and renewal for staff.
* Handle financial transactions and maintain accounts with support from managers.
* Maintain confidentiality and communicate clearly within the team and with administrative colleagues.
* Ensure office areas, notice boards and leaflets are up to date; support mandatory training and ongoing skills development.
* Support service users and staff with effective communication and a positive customer care approach.
* Occasional travel to the Stevenage office may be required.
Qualifications
* Good standard of education to secondary level (NVQ2/GCSEs A–C or equivalent).
* Ability to organise and prioritise own workload and work under pressure within guidelines.
* At least 2 years' experience in an office environment.
* Experienced and confident user of Microsoft Office packages.
* Desirable: experience of using Eroster; experience of using Paris patient record system.
* Excellent communication skills with service users, relatives/carers and external agencies; respectful and empathetic approach; commitment to confidentiality.
* Eligibility considerations regarding sponsorship for UK work visas as applicable.
