Job Title: Paralegal/Legal Secretary

Job Purpose
1. To provide comprehensive administrative and paralegal support to a busy Property Department.
2. To work in accordance with the Office Manual and to act at all times in an appropriate manner as an employee of a professional practice.
Key Responsibilities
3. Providing conveyancing quotes
4. Opening new files
5. Dealing with client enquiries and queries over the telephone and in person, and providing updates to clients and estate agents
6. Keep up to date with prospective clients
7. Setting up files for completion
8. To progress files through to post-completion, file closing and progressing to archive
9. Undertaking dictation
10. To scan, maintain and prepare full attendance notes
11. Obtaining correct documentation for Anti Money Laundering purposes
12. Updating LMS and Lender Exchange
13. Submitting registrations and dealing with requisitions
14. Work within the framework of CQS
15. Scanning post and allocating to fee earners electronically and onto physical files
16. Dealing with client and office ledgers
17. To undertake general administration tasks
18. To attend Property Department meetings and Firm wide meetings
19. To proficiently use the Firm's case management system
20. Updating estate agents and brokers
21. First point of contact for incoming calls
22. To undertake any reasonable instructions made by Directors, Department Heads, Line Manager or Fee Earners.
Knowledge and Experience
23. Minimum of 6 months experience working within a Residential Conveyancing department
24. Sound understanding of the conveyancing process
25. Knowledge of LMS and Lender Exchange
26. Knowledge of Land Registry
27. Excellent client care
