Job Title: Senior Booking Clerk - Outpatient Services
The post holder will be responsible for the efficient booking and scheduling of their allocated sub-specialty outpatient appointments, including new and follow-up visits, while maintaining government targets in accordance with the Patient Access Policy. This includes monitoring follow-up queues, validating appointments, and building additional clinics as needed.
The post holder must work autonomously, using their initiative, supported by the Clerical Manager, and collaborate as part of the Patient Access team to deliver high standards for patients, hospital staff, and other contacts. As a senior clerk within the Access Centre, they will support and guide Booking Clerks in scheduling within their sub-specialty.
Main Responsibilities
1. Clinic & Diary Management: Manage consultant clinic schedules, including face-to-face, telephone, and virtual appointments, ensuring correct timings and media types.
2. Patient Communication: Produce and send appointment letters; liaise with patients to arrange appointments according to availability and policies.
3. Booking & Referral Management: Register new referrals (electronic and paper), manage e-Referral system tasks, and maintain RTT pathways.
4. Queue & Waiting List Oversight: Monitor follow-up queues, prioritize urgent cases, manage DNA (Did Not Attend) cases, and meet waiting time targets.
5. Reporting & Analysis: Conduct PTL reviews, manage overdue follow-up reports, analyze clinic utilization, and contribute to statistical reports.
6. Liaison & Support: Act as a contact point for GPs, patients, and staff; handle complex bookings, complaints, and service queries.
7. System Expertise: Be a super-user for Meditech, CRIS, and In-Touch systems; support digital initiatives.
8. Administrative Leadership: Train and support new staff, deputise for the Access Manager, contribute to SOPs, and uphold professional standards.
9. General Duties: Organize interpreters, coordinate additional clinics, and ensure policy adherence.
