Ward Clerk - Acute Medical Unit

To ensure the provision of a full range of administrative, clerical and reception support services for the Acute Medical Unit, Ward Manager and Clinical teams. The post holder will be responsible for providing administrative support to the unit to ensure its smooth operation and running. The post holder’s primary role will be to assist in providing a comprehensive efficient administrative system to the unit’s multidisciplinary staff that ensures they are supported in their roles.
Working as a member of the team the post holder will act as the main focal and central access point for communication within the unit and be responsible for collating and disseminating information and data that facilitates the day‑to‑day unit operation. He/she will help all levels of staff, patients, relatives, and members of the public as well as outside organisations and agencies. Using their communication skills, the post holder will have the ability to use their initiative, working with minimal supervision to tight deadlines and maintain a flexible approach whilst respecting confidentiality for work undertaken.
This role is a 7‑day rotational shift working days and nights and all bank holidays included.
Key Responsibilities
* Be the first point of contact for the unit, dealing with visitors and directing all enquiries and any day‑to‑day problems to the appropriate person or department.
* Demonstrate good interpersonal and communication skills, working effectively as part of a team within a hospital environment with patients, visitors, relatives as well as medical, nursing and therapies staff.
* Ensure patient records/information is accurately recorded on the patient’s information system.
* Effectively deal with all enquiries via telephone and face‑to‑face regarding patients, staff, internal and external agencies, or to escalate to the appropriate member of the medical team.
* Assist in maintaining the reception area at all times in an orderly state.
* Maintain the confidentiality, safety and security of the reception area and report any adverse matters to senior staff or the security office.
* Assist in providing a clerical/administrative service, supporting the use of clinical and corporate systems as appropriate (e.g., data input, word processing, spreadsheets, etc.).
* Admit/Discharge/Transfer patients in a timely manner, ensuring real‑time activity is always maintained.
