Office Administrator
Our client, a well-established specialist construction contractor, has partnered exclusively with GT Recruitment Partners on a fully managed recruitment campaign to hire an Office Administrator. This is a high-impact individual contributor role reporting directly to the Operations Manager.
The Role
This is a permanent position offering hands-on operations planning and coordination supporting a mobile workforce of approximately 1,000 employees working across major construction projects throughout Europe. You'll be managing workforce rotations, coordinating labour levels across multiple sites, and working closely with project managers, logistics, HR, and finance teams to ensure seamless operations.
This would suit a recent HR, Business Administration, or Supply Chain graduate who thrives on multitasking, enjoys working with people across multiple departments, and wants to build a career in operations planning.
About the Company
This is a market-leading specialist contractor delivering complex electrical and infrastructure projects for clients across Europe. Headquartered in Ireland, they work on mission-critical projects spanning data centres, pharmaceuticals, renewables, power generation, and critical infrastructure.
What You'll Be Doing
* Collaborate with project site managers and the Head of Operations on workforce planning and coordination for projects across Europe
* Monitor workforce rotations operating on a 3-weeks-on, 1-week-off basis to maintain adequate labour levels across sites in Europe.
* Prepare detailed headcount, working hours, and financial budgets for each project, working with project managers and commercial/finance teams
* Identify, monitor, and report on factors influencing operational costs
* Lead scheduling and planning of current operations and future activities
* Work closely with the logistics team to arrange timely travel and accommodation for the mobile workforce
* Collate relevant data across all business functions and assemble reports on effectiveness and lessons learned
* Communicate progress effectively and present regular reports to management for all stakeholders
* Highlight concerns, potential impacts, and identify opportunities for process improvements
* Handle reactive problem-solving (e.g., emergency accommodation or travel arrangements when situations arise)
What We're Looking For
* Honours degree in HR, Business Administration, Supply Chain, Logistics, or similar administration-heavy discipline (strong preference for HR-related qualifications)
* Strong multitasking ability with the capacity to manage competing priorities across multiple projects and stakeholders
* Comfortable using Microsoft Excel for data entry, analysis, and basic functions/formulae (training provided for advanced skills)
* Excellent attention to detail; accuracy is critical when coordinating across time zones and managing workforce logistics
* Process-oriented mindset with an eagerness to learn about operations planning
* Assertive, people-focused personality who can work effectively with contract managers, project managers, HR, health & safety, finance, and logistics teams
* Punctuality and reliability (essential for coordinating across European time zones)
* This role is ideal for a recent graduate or someone making a career change: experience is less important than the right educational background, attitude, and personality fit. Full training will be provided
What's On Offer
* Salary: £28,000
* Contract: Full-time, permanent
* Location: Armagh office with free on-site parking
* Work Model: On-site 5 days per week
* Working Hours: Monday-Thursday 8:30am-5:15pm, Friday 8:30am-2:30pm (39-hour week)
* Pension: 5% matched pension from day one
* Annual Leave: 20 days plus public holidays (UK or Irish holidays depending on payroll preference)
* Additional Benefits: Employee Assistance Programme, regular training and development opportunities (including Excel training), inclusive working environment
How They Work
This role is based in the Armagh office, five days per week. You'll be working closely with the Senior Operations Planner on a day-to-day basis, with formal line management from the Operations Manager. The company operates structured working hours and respects work-life balance, but the pace is fast and the work is mission-critical; delays are costly, so accuracy and reliability are paramount.
