Main Purpose of Job:
To support the Sales team and Founder/CEO in progressing new business opportunities, preparing accurate client quotations, and maintaining effective pipeline coordination. The role also provides project coordination and quality support to ensure translation and interpretation projects meet agreed deadlines and internal standards. This is a hybrid coordination role within a small, collaborative team environment.
Key Duties & Responsibilities
Sales & Commercial Support (Primary Focus)
* Prepare and issue client quotes in collaboration with the Founder/CEO and Account Managers, ensuring alignment with approved pricing structures.
* Maintain and update Zoho CRM to ensure pipeline accuracy and clean data management.
* Coordinate marketing-generated leads and ensure timely follow-up by the Sales team.
* Arrange client meetings, calls, and sales appointments.
* Support follow-up communication with prospects and existing clients.
* Raise sales orders and purchase orders accurately.
* Assist the Sales team with database management and pipeline cleaning.
* Act as a professional first point of contact for client enquiries.
Project Coordination & Quality Support
* Organise and prioritise workload to support timely project delivery.
* Liaise with clients and freelance linguists where required.
* Use Wrike Project Management tool and Zoho CRM to support project tracking.
* Conduct quality control checks at key project stages (including formatting and final delivery checks).
* Proof, check, and format final translated documents before delivery where required.
* Maintain accurate project documentation in SharePoint.
* Identify and escalate potential risks impacting delivery timelines.
* Support adherence to ISO 17100:2015, ISO 9001:2015, ISO 13485:2016, and ISO 5060:2024 standards.
Administration & Executive Support
* Provide diary coordination support to the Founder/CEO in relation to sales activity.
* Support preparation for networking events and client meetings.
* Maintain accurate and legally compliant documentation.
* Contribute to weekly team meetings, providing updates on sales pipeline and project status.
Client & Team Relations
* Maintain high client satisfaction through professional and responsive communication.
* Follow up post-delivery to confirm receipt and support ongoing engagement.
* Handle client issues promptly, escalating where necessary in line with internal procedures.
* Represent MLC alongside Sales and Account Management teams where required.
Skills & Attributes Required
* Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
* Experience in a coordination, administrative, or sales support role.
* Previous experience working within a Language Service Provider (LSP) is strongly preferred.
* Demonstrable understanding of translation and interpretation workflows, terminology, and supplier management within an LSP environment.
* Familiarity with ISO standards relevant to language services (ISO 17100, ISO 9001, ISO 13485, ISO 5060) is highly advantageous.
* Strong organisational skills with the ability to manage multiple priorities.
* High attention to detail, particularly in quoting, formatting, and document checks.
* Confident communicator with a professional client-facing manner.
* Positive, proactive, and adaptable approach.
* Comfortable working in a small SME environment.
* Ability to work under pressure and meet deadlines.
Job Type: Full-time
Pay: £25,000.00-£29,000.00 per year

Experience:
* project coordination or project management: 2 years (preferred)
* of translation, interpretation, or localisation industry: 1 year (preferred)
