Location: HMP Fosse Way, Leicestershire LE18 4TN

Salary: £26,202.75 per annum plus Serco Benefits

Schedule: 40 hours per week Monday – Friday

Ready to impact a better future? As a Case Administrator in our HMP Fosse Way team, you will process offender records in line with legal frameworks and prison procedures, ensuring accurate documentation, strict confidentiality, and effective communication with partner agencies including Police, Probation and the Courts. Working in a fast‑paced OMU environment, you will demonstrate strong IT skills, adaptability, and a collaborative approach while maintaining the highest standards of security and professionalism.


What you’ll do as a Case Administrator

* Provide clerical and administrative support for all areas of the department and effectively communicate with internal partners and external agencies.
* Ensure that all records are completed to a high standard of accuracy on the relevant systems, both manual and electronic files.
* Work as part of the team in an efficient and professional manner, contributing to all areas and supporting where business needs direct.
* Work closely with Prison Offender Managers to assist with the administration for all transfers, new receptions into custody and discharges.
* Develop your knowledge and skills of the job role both in situ and through training, understand all relevant procedures and provide help and support in all areas of the function.
* Carry out sentence calculations in line with the PSI guidelines; upon completion of training you will be required to maintain your competency.
* Produce reports as requested and maintain accurate records of all actions taken.
* Understand and work within the legislation of the Health and Safety at Work Act, with particular attention to the safe systems of work applicable to your area.
* Initiate and collate reports for forwarding to relevant internal departments and external agencies within specific timescales.
* Daily filing and archiving of records, including the control and security of prisoner files.
* Be flexible – support all OM areas and be responsive to business needs.
* Ensure files are prioritised correctly when received and processed in accordance with the prison service instructions.
* Monitor functional mailboxes throughout the day.
* Create a diary entry for those in the establishment on the court list and ensure their records are forwarded to the reception department.
* Book video links for courts as required.
* Identify offenders eligible for HDC at the earliest opportunity and process them in accordance with the required timeframes.
* Record and maintain all figures associated with HDC.
* Carry out the core sentence calculation duties, with associated periphery tasks.


Qualifications

* Excellent administration skills / experience of working in a busy office environment.
* Excellent communication skills both written and oral.
* High level skills with Microsoft Word and Excel.
* GCSE passes in English and Mathematics, or equivalent.
* Sentence calculation licence to operate; after training and to remain competent.


Desirable

* Understanding of Offender Management Unit work.
* Previous experience of working with offenders.
* Previous sentence calculation experience.


Vetting and checks

An Enhanced DBS check is required for this role. This includes spent and unspent convictions, cautions, and any relevant information held by local police, in accordance with the Rehabilitation of Offenders Act and safeguarding requirements. You will also complete an Occupational Health Questionnaire to allow us to provide any support needed for you to succeed in the role. Disability Confident.
