Job Responsibilities
1. Drafting and serving S20 notices for major works.
2. Manage a high-end technical portfolio in accordance with RICS Codes of Practice, ARMA rules, and landlord and tenant legislation.
3. Provide comprehensive professional property management services for a portfolio of freehold/leasehold developments and individual properties on behalf of clients, developers, and Resident Management Companies. Proactively manage lease terms and current best practices.
4. Respond to pre-assignment enquiries.
5. Manage in relation to company targets for income and service delivery.
6. Handle leaseholder enquiries related to the development.
7. Respond to all correspondence, emails, and phone calls from Directors, lessees, and tenants.
8. Prepare and draft minutes for Board meetings for Director approval.
9. Understand lease terms thoroughly and communicate effectively with lessees, tenants, and letting agents regarding lease violations (e.g., noise, pets, satellite dishes).
10. Address issues arising during property management to ensure smooth operation.
11. Oversee a small team, including Junior Property Managers and site staff.
BUDGETS & ACCOUNTS
* Prepare and present draft budgets for Director approval using PMS software.
* Understand service charges and company accounts, explaining them clearly to Directors.
INSPECTIONS
* Arrange property meetings and inspections.
* Ensure all necessary contracts and inspections are up-to-date.
* Conduct regular property inspections and address required works.
* Maintain up-to-date Health & Safety, Fire Risk Assessments, Asbestos Surveys, Legionnaires Risk Assessments, and Electrical Reports.
INSURANCE
* Ensure all properties are insured, managing claims, renewals, and inquiries.
* Coordinate with Loss Adjusters and obtain quotes for remedial works and emergency repairs.
* Work with Directors to revalue blocks for insurance purposes at least every three years.
MAINTENANCE
* Contact contractors for works, issuing work orders via PMS, and obtaining Director approval when needed.
* Monitor contractor performance and complete jobs efficiently.
* Prepare specifications, issue tenders, and appoint contractors for various services.
* Perform site inspections and keep Directors informed of progress, ensuring timely payments.
* Maintain updated contracts and schedules of works on the system.
* Notify lessees and tenants of upcoming works.
* Coordinate with surveyors on major works and serve S20 Notices.
SERVICE CHARGES
* Monitor expenditure to ensure sufficient funds for repairs and works.
* Chase arrears of service charges and ground rents, involving solicitors when necessary.
GENERAL
* Review, code, and authorize invoices.
* Maintain filing systems.
* Perform any other duties as assigned.
PERSONAL REQUIREMENTS
* MIRPM/MTPI qualification and relevant post-qualification experience.
* Strong understanding of Residential Property Management and legislation.
* Excellent interpersonal and communication skills.
* Customer-focused with good literacy and numeracy skills.
* Diplomatic, proactive, and able to prioritize under pressure.
* Team-oriented with the ability to work independently.
