Job Description: We are currently seeking a detail-oriented and proactive Sales Administrator to join our team at our Droitwich location. The Sales Administrator will play a crucial role in supporting our sales team and ensuring the smooth and efficient operation of our sales processes. We are recruiting for two positions with interview slots available immediately Key Responsibilities: Order Processing: Managing the end-to-end order processing cycle, including receiving and reviewing customer orders, entering orders into the system accurately, and liaising with various departments to ensure timely order fulfillment. Sales Support: Providing administrative support to the sales team, including preparing quotations, proposals, and sales contracts, and assisting with customer inquiries and requests. Customer Communication: Communicating with customers via phone and email to confirm orders, provide order updates, address inquiries, and resolve any issues or concerns promptly and professionally. Documentation: Maintaining accurate records and documentation related to sales transactions, contracts, invoices, and other relevant information, ensuring compliance with company policies and procedures. Inventory Management: Assisting with inventory management tasks, including monitoring stock levels, coordinating stock transfers, and generating reports to support sales forecasting and planning. Sales Reporting: Compiling and analysing sales data and generating reports to track sales performance, identify trends, and support decision-making by the sales management team. CRM Maintenance: Managing the company's customer relationship management (CRM) system, updating customer records, logging interactions, and ensuring data accuracy and integrity. Administrative Support: Providing general administrative support to the sales department, such as scheduling meetings, arranging travel, preparing presentations, and maintaining filing systems. Collaboration: Collaborating with internal departments, including sales, marketing, finance, and logistics, to ensure alignment and coordination in achieving sales objectives and delivering excellent customer service. Continuous Improvement: Identifying opportunities for process improvements and efficiency enhancements within the sales administration function, and actively contributing ideas and suggestions for continuous improvement initiatives. Requirements: Previous experience in a similar sales administration or customer service role. Strong organizational skills with the ability to manage multiple tasks and priorities effectively in a fast-paced work environment. Excellent communication and interpersonal skills, with a customer-focused approach and the ability to build positive relationships with internal teams and external customers. Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook, with experience using CRM systems and other sales-related software. Attention to detail and accuracy in data entry and documentation. Proactive attitude with a willingness to take initiative and adapt to changing priorities and requirements. Ability to work independently with minimal supervision, as well as collaboratively within a team environment. Flexibility to occasionally work additional hours or weekends to meet business needs.
